Payroll SpecialistThe Payroll Specialist ensures the accurate and timely processing, printing, and distribution of multiple payrolls in compliance with company policies, procedures, and all applicable government regulations. This role owns several weekly and bi-weekly payrolls, manages complex payroll adjustments and supplemental payments, and maintains complete and compliant payroll records and filings. The position also supports new hire onboarding and contributes to a growing, collaborative payroll team within a dynamic, expanding organization.ResponsibilitiesProcess and own multiple payrolls, including weekly and bi-weekly cycles, ensuring accuracy, timeliness, and compliance with legal and company requirements.Print and distribute payroll checks and manage related documentation in accordance with established policies and procedures.Write up and enter payroll adjustments such as garnishments, deductions, wage assignments, vacation checks, bonus checks, advances, and other special payments.Request and process supplemental checks, including child support payments, employee savings deposits, net deposits, and tax-related payments.Process monthly billings for health and dental insurance and ensure accurate integration with payroll records.Assist with new hire orientation, including payroll setup, timekeeping enrollment, and related onboarding activities.Ensure completion, accuracy, and ongoing maintenance of all payroll-related records, filings, and reports.Prepare and file all required government forms and reports on a timely basis, including monthly, quarterly, and annual filings.Manage IRS and state tax checks, ensuring correct processing for multi-state payroll operations.Support automated timekeeping processes and handle weekly tasks such as pay changes, reclassifications, terminations, new hires, enrollments, and union reporting.Collaborate with payroll team members who support different regions and payroll types, while focusing primarily on office payroll.Participate in cross-training to provide coverage across regions and payroll types and to support team flexibility.Use the ERP and payroll systems to enter, review, and reconcile payroll data, ensuring data integrity and consistency.Utilize Excel for daily payroll-related data processing, analysis, and reporting.Contribute to continuous improvement efforts, supporting initiatives to implement efficiencies and leverage technology and automation in payroll processes.Support a culture of internal mobility and growth by collaborating effectively with team members and adapting to evolving organizational needs.Essential SkillsAt least 5 years of payroll experience, with a strong background in end-to-end payroll processing.Demonstrated experience with multi-state payroll processing, including compliance with regulations across multiple states.Proficiency in managing weekly and bi-weekly payroll cycles for multiple groups or business units.Ability to accurately handle complex payroll adjustments such as garnishments, deductions, wage assignments, bonuses, advances, and vacation payouts.Experience preparing and filing monthly, quarterly, and yearly government payroll reports and forms.Familiarity with processing IRS and state tax checks in a multi-state payroll environment.Comfort working with automated timekeeping systems and integrating time data into payroll.Strong attention to detail and accuracy in data entry, recordkeeping, and reconciliation.Ability to work effectively in a remote environment while maintaining productivity and meeting deadlines, particularly during heavy payroll processing days.Strong organizational and time-management skills to handle multiple payrolls and recurring weekly responsibilities.Additional Skills & QualificationsExperience supporting office or corporate payroll operations within a large, multi-unit organization.Prior exposure to union reporting and coordination with teams that handle union payroll and prevailing wage (even if this role focuses on office payroll).Experience using ECMS or similar ERP systems for payroll and related financial processes.Experience using Bamboo or similar payroll platforms.Proficiency with Microsoft Excel; ability to use functions such as pivot tables and VLOOKUP is not required but would be highly beneficial.Comfort assisting with new hire orientation and onboarding processes, particularly in a fast-growing environment with frequent new projects.Adaptability and willingness to learn industry-specific payroll nuances and unique requirements.Interest in supporting initiatives that implement efficiencies and leverage technology and AI in payroll operations.Ability to collaborate within a team that values internal growth, cross-training, and movement into new roles over time.Work EnvironmentThis role is fully remote and open to candidates in any time zone, provided they can perform effectively on Central Standard Time. Typical hours are 8:00 a.m. to 5:00 p.m. CST, with some flexibility, and Mondays and Tuesdays are heavier payroll processing days, while the remaining days focus more on data processing and related tasks. The payroll function is supported by several teams that serve different regions and payroll types; this position is dedicated to office payroll, while other teams handle union payroll and prevailing wage. Timekeeping is automated, and the organization uses ECMS as its ERP and Bamboo for payroll, with Excel employed daily for data processing and reporting. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
