Bookkeeper with Payroll, AP/AP, and HR Admin Experience

$25 - $27 per hour

Are you a dependable, self-motivated professional with experience in QuickBooks, ADP, Accounts Payable and Receivable experience? Are you a whiz at providing administrative support for HR processes? Do you have a knack for staying organized? We'd love to welcome you to our collegial, creative environment?


We are 100+ year-old costume rental and sales company with its own unique set of characters on deck. Our business is healthy and growing and we need a bookkeeper who can keep up with us. We are open to experienced part-time candidates or full-time candidates who can grow with us. Are you the one?

What You'll Do:
  • Manage accounts payable and receivable tasks and some basic reporting using QuickBooks
  • Partner with Controller to perform monthly and year-end close tasks
  • Onboard new staff into payroll system and administer online ADP employee portal
  • Ensure all requirements are met and process weekly payroll in ADP WorkNow for 30-40 staff in NY
  • Administer employee benefits enrollment and changes
  • Collect, organize, and upload invoices, receipts, and other documents to support A/P tasks and required records retention
  • Process credit card payments for A/R
  • Queue ACH and print checks for signature and approval
  • Reconcile bank statements to maintain accurate financial data
  • Prepare checking deposits and other documents to support A/R
  • Ensure information is accurate for state sales tax registrations and payments
  • Prepare annual due diligence mailings and reports of dormant unclaimed funds to New York State Comptroller's Office
  • Manage customer credit on account and send monthly/quarterly statements to customers
  • Update product pricing as needed to reflect current rates and accuracy.
  • Provide other general administrative support as needed
  • Jump in where needed - flexibility is key!
We're Looking For:
  • Reliable, detail-oriented individuals
  • QuickBooks and ADP WorkNow proficiency (a must!)
  • Strong organizational and communication skills
  • Availability to start ASAP
Requirements
  • 3-5 years of hands-on AP/AR, HR admin, and payroll experience
  • Strong proficiency in QuickBooks, ADP WorkNow, and Microsoft Office, especially Excel (basic formulas/spreadsheets).
  • A solid grasp of accounting principles, with the ability to handle reconciliations and journal entries
  • A team player with strong communication skills-someone who is friendly, dependable, and proactive
Education
  • Associates degree in Accounting or equivalent experience required
  • Bachelor's degree preferred
Schedule: Part-time or Full-time, Monday-Friday

Work Location: In person in Schenectady, NY

Pay: Starting at $25.00-$27.00/hour

Language Skills:

Must be able to speak, read, write, and understand the primary language(s) used in the workplace; bilingual skills a plus. Ability to read, analyze, and interpret general business information, including but not limited to Company policies and procedures. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.


Mathematical Skills:

Ability to calculate figures and amounts such as percentages, sales prices, total purchases, etc.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, or schedule form.
