If that sounds like you, we'd love to meet you. About Us Bear Benefits is a boutique employee benefits practice in Dallas, and a fourth-generation insurance family. We look after about eighty small businesses across Texas — helping them choose, manage, and actually use their group health and benefits programs. What we tell our clients is that we bear the weight so they don't have to. Our guiding principle is the Platinum Rule: treat people the way they'd like to be treated. We mean that for our clients, and we mean it for the people who work here. What It's Like Here Small, friendly, and refreshingly free of bureaucracy. There are no layers to go through and nobody looking over your shoulder. You'd work directly with our founder and alongside our client strategy lead. We move quickly and work hard, especially for our clients. We want to grow, and we need a meticulous, detailed operator. Good work gets noticed here, because there's nowhere for it to hide. The Role This is our first operations hire, so you'd be shaping the role as much as filling it. You'd own the systems that keep eighty client relationships running well — the CRM, the follow-ups, the project list, and the paperwork that needs to be right the first time. A year in, our records are clean and stay clean, nothing slips between a promise and a follow-up, and our founder is spending his days with clients instead of buried in admin. It's the kind of role where you can see your own fingerprints on the place. A Real Seat at the Table A note from me, since you'd be working with me directly. I've run most of this practice myself for a long time, and what I'm looking for now is a true right hand — someone whose judgment I trust enough to act on. That means your ideas get heard, the systems you build get used, and when you think I've missed something, I want you to say so. I'd honestly rather hear it. You'd have real authority here, and I'll back you when you use it. What You'd Do Own our CRM (Nutshell) and make it something we genuinely trust — accurate, current, and complete. Keep our promises on track. Know what we've committed to across email and calendar, and make sure it happens. Call clients to set up and confirm appointments. Anything about coverage, plans, or premiums goes to our licensed broker — Texas licensing rules mean you'll never be put on the spot for something outside your lane. Run the project list so the bigger efforts — client onboarding, renewals, internal projects — stay on schedule. Take notes in client and internal meetings, by hand or with AI transcription tools, and turn them into real tasks the same day. Handle the recurring paperwork and the small things before they pile up. Speak up when something looks off. You'll notice things we've long since stopped seeing, and we want to hear about them. What We're Looking For More than anything, someone who notices things — the date that doesn't match, the field left blank, the detail that contradicts the one above it. If small errors catch your eye and you enjoy setting them right, you'll be at home here. A couple of years in an administrative, coordinator, operations, or executive support role. You've kept a CRM or database honest before — not just entered data into one. You're comfortable saying what you think. We'd always rather hear it. You're quick with tools, including AI assistants like Claude or ChatGPT. In a part-time role, good leverage goes a long way. You can work from our Dallas office. Nice to have, not required: A background in insurance, employee benefits, healthcare, or another regulated field. Familiarity with Nutshell, HubSpot, Salesforce, or something similar. Experience supporting an owner or advisor directly. And if you're new to benefits but curious about the business, say so — we're glad to teach. Where This Can Go This starts part-time, but it isn't meant to stay small. As the practice grows, the role grows with it — in hours first, then in scope. The person who does this well becomes the one who runs operations here, and there's plenty of room to learn the benefits business itself along the way if that interests you. We'd much rather grow someone than replace them. Your First 90 Days First month: get to know the book, and tell us what you find — what's missing, stale, or out of date. Second month: close those gaps, and set up the rhythms that keep them closed. Third month: it's yours to run. Compensation & Schedule $24–$34 an hour depending on experience, as a W-2 part-time employee. Starting at 10–15 hours a week, growing as the practice does.
