Operations Coordinator

We are seeking a detail-oriented Operations Coordinator to support daily service and administrative operations. This role is responsible for coordinating technician schedules, processing service requests, managing customer communications, and ensuring efficient workflow across the department. The ideal candidate will have experience in dispatch, operations support, or administration and thrive in a fast-paced environment.

Key Responsibilities

• Answer and manage incoming service calls and customer inquiries.
• Serve as the secondary point of contact for office phone calls.
• Schedule, book, and coordinate time-and-material (T&M) service jobs.
• Order parts and issue purchase orders as needed for service work.
• Dispatch technicians and coordinate service schedules as required.
• Process material returns and ensure parts are returned in a timely manner.
• Return customer calls and provide updates regarding service requests.
• Maintain department calendars, schedules, meetings, and travel arrangements.
• Enter and maintain accurate customer and service data within company systems.
• Organize workflow by managing assignments, correspondence, and customer information.
• Keep warehouse inventory and parts organized (no heavy lifting or machinery operation required).
• Maintain filing, recordkeeping, and document retrieval systems.
• Perform database backups and help maintain the security and confidentiality of company information.
• Support overall office operations and administrative functions.

Required Qualifications

• High School Diploma or GED required.
• 2+ years of experience in dispatching, operations coordination, administration, or a related support role.
• Minimum 2 years of experience within the HVAC industry.
• Previous dispatching experience strongly preferred.
• Strong customer service and communication skills.
• Excellent organizational, planning, and time management abilities.
• Ability to multitask and prioritize in a fast-paced environment.
• Strong attention to detail and accuracy.
• Proficiency with Microsoft Office and data entry systems.

Preferred Skills

• Experience coordinating field service technicians.
• Knowledge of purchase orders, inventory tracking, and material returns.
• Strong written and verbal communication skills for cross-functional collaboration.
• Ability to work independently and as part of a team.

Work Environment

• Office and warehouse support environment.
• Light physical activity may be required for organizing inventory and materials.
• No heavy lifting, forklift operation, or machinery operation required.

Compensation: $18.00 - $20.00 per hour, based on experience.
