Office/ Facilities Assistant - Charter School
Fourth Floor
Our client, a Charter School, is seeking an Office/ Facilities Assistant to join their team on a contract basis in New York office.
Responsibilities:
- Serve as the on-site Supply Chain representative during school opening deliveries, executing established procedures and delivery plans.
- Oversee white-glove delivery partners, ensuring materials and furniture are delivered, staged, and placed accurately and on schedule.
- Verify delivery accuracy through walkthroughs, documentation review, and confirmation that items are placed in designated rooms.
- Document delivery completion, maintain accurate records, and upload required paperwork to designated systems.
- Identify, document, and escalate delivery discrepancies, damages, missing items, vendor performance issues, or site constraints to ensure timely resolution.
- Coordinate with school-based staff and delivery partners to facilitate efficient access, staging, and fulfillment activities.
- Track delivery progress, fulfillment requests, and outstanding items using designated tools and communication channels.
- Maintain proactive communication with the Supply Chain team and school stakeholders regarding delivery status, risks, and resolution timelines.
Requirements:
- 1–3 years of experience in supply chain, logistics, operations, vendor management, or a related field.
- Strong organizational skills, attention to detail, and the ability to execute established processes with accuracy and minimal supervision.
- Experience coordinating with vendors, delivery teams, or other external partners in a fast-paced, deadline-driven environment.
- Proficiency with Google Workspace (Gmail, Sheets, Drive) and the ability to quickly learn new systems and tools.
- Excellent written and verbal communication skills, with the ability to collaborate effectively across teams and stakeholders.
