Lead Operations Clerk Part of the Operations Unit at Fitness and Recreation. Job Description The Lead Operations Clerk serves as a mentor, role model, and primary contact at the fitness center in the absence of Operations Supervisors, Managers, and other leadership. The role provides front‑desk leadership, customer service, facility safety, administrative support, and program coordination. Responsibilities Lead by example and mentor co‑workers. Act as the lead contact person at the fitness center when supervisors are absent. Maintain high‑quality customer service and hospitality, handling difficult situations in a fast‑paced environment. Work independently and sometimes lead a team of 2–3 coworkers. Respond to member suggestions, concerns, and complaints promptly and professionally. Process sales, program registrations, and member facility check‑ins. Complete or delegate front‑desk administrative duties directed by Operations and Facility Managers. Support fitness programmers and managers. Ensure facility cleanliness and manage supplies in fitness areas; assist with towel laundry services. Obtain Red Cross CPR/AED and First Aid certification within the first 3 months of employment. Assist in emergencies and facility evacuations, ensuring safety and following UCSF and Fitness & Recreation policy. Operate computer applications, multitask during peak times, and use various software programs. Interest in advancing careers in fitness, health, or customer service supervision. Wear uniform, including nametag, and ensure adherence by coworkers. The responsibilities also include: Customer reception, greeting, problem‑solving, retention, and program sales. Follow and enforce UCSF and Fitness & Recreation policies and safety procedures. Proactively provide exceptional customer service and troubleshoot problems. Communicate details about new and ongoing center programs and services. Answer phone, e‑mail, and web inquiries and follow‑up when needed. Participate in member and staff evacuations and act as lead point of contact. Open and close the facility according to schedule, and lead coworkers in closing tasks. Maintain, clean, and organize front desk and fitness floor, including equipment placement. Perform laundry duties, towel bin emptying, and support cleaning schedules. Assist in maintaining retail inventory, data tracking, and program scheduling via CSI software. Process and secure program registration documents, verifying accuracy of daily cash‑out. Assist with special projects, locker inventory audits, database maintenance, and promotion execution. Explain policies and procedures to new staff and provide ongoing support. Order reception desk supplies and make recommendations. Support staff for fitness programming and membership inquiries. Keep a clean and organized workspace for customer‑facing and non‑customer‑facing areas. Qualifications – Required High‑school graduation and one year of related administrative experience, or equivalent combination of education and experience. Customer‑service experience. Experience as a Fitness & Recreation Customer Service Clerk. Ability to resolve conflict according to code of conduct. Office and technology skills: phone, voicemail, Microsoft Word, e‑mail, fax, printing, scanning, FileMaker, CSI, online member access/booking, Citrix, smartphone apps. Prioritization and multitasking ability with minimal supervision. Confidentiality and data‑privacy awareness. Independent and team‑oriented work style. Wear uniform with nametag. Fluent reading, writing, speaking, and understanding of English. Cash handling and shift deposit reconciliation. Leadership skills or experience within a fitness center environment. Flexible schedule; normal business hours Monday‑Sunday, 5 am‑10 pm. Preferred Qualifications Excellent interpersonal, verbal, and written communication skills. Ability to motivate and support others toward health and fitness goals. Skill in collecting, organizing, and disseminating information. Sound judgment and decision making. Knowledge of UC systems, forms, policies, and structure. Knowledge of UCSF Fitness & Recreation. Current knowledge of PCI compliance, cash handling, CANRA trainings, ethics training, cyber‑security, and sexual‑harassment prevention as applicable.
