Lead Intake Analyst

Goldberg Segalla seeks a highly motivated and organized individual to Provide direction, instruction, and guidance to colleagues in the File Intake Department to help achieve departmental objectives. Inspire and coach team members to foster a creative, productive, and healthy work environment. The ideal candidate should effectively multitask and manage multiple requests and projects daily. Strong analytical and organizational skills are essential. Collaborate closely with the File Intake Manager to provide the necessary support.

ESSENTIAL JOB FUNCTIONS:

• Support the File Intake team with daily questions and provide proper feedback.
• Work directly with the supervisor on a daily basis to troubleshoot and research file opening issues.
• Develop knowledge of all File Intake processes and applications to become subject matter expert regarding firm programs, protocols and an expert in opening all types of files.
• Understanding the importance of follow-up and issue resolution to determine when escalation to File Intake Team Supervisor is necessary.
• Assist in the training of new employees and provide continued coaching and additional training as needed.

• Monitor and support coverage for staff time off and other overflow as needed.
• Completion of reports on a daily, weekly, monthly, or as needed basis and submitting them to others within the Firm when necessary.
• Evaluate information secured in the file intake process to ensure accuracy and adequacy prior to entry in Aderant.
• Professional follow-up with attorneys and legal assistants for additional information or for clarity of information as needed.
• Ensure the consistent entry of accurate information in Aderant during the file intake process consistent with firm protocols.
• Conduct timely opening of new matters (1-2 business days) upon submission of appropriate information to the File Intake Group.
• Prompt communication to request information from attorneys, administrative staff and supervisor in the event information is missing or unclear upon receipt of a request to open a new matter.
• Contribute to the maintenance and updating of information in Aderant.
• Assist in the file opening process during the onboarding of new attorneys to the firm.
• Appreciate and understand the impact of File Opening and Aderant usage by the File Intake Department on other departments and the firm overall. 
• Understand and appropriately utilize firm systems including, but not limited to, Aderant, iManage, etc.
• Receive cross-training and assist other departments as needed.
• Assist with special projects and assignments as needed.
• Demonstrate self-motivation and ownership of file opening practices.

REQUIRED SKILLS/ABILITIES & EXPERIENCE:

• Bachelor's degree (B.A. or B.S.) from an accredited college or university or relative experience in an office environment.

• Knowledge of office administration and procedures.
• Excellent customer service skills.
• Attention to detail and accuracy.
• Exceptional time management and organizational skills.
• Problem analysis and problem-solving skills.
• Proficient in all aspects of Microsoft Office.
• Strong verbal and written communication skills.
• Law firm experience preferred.

• Direct file intake experience preferred. Regularly required to clearly communicate and exchange information in English
• Strong organization and time management skills
• Regularly required to observe and assess data and documents, in printed form and on computer screens
• May be requested to work beyond normal work hours and weekends for special projects
• Works well in a team environment
• Ability to work independently within general guidelines and minimal supervision
• Ability to recognize the need for confidentiality of information and to maintain such confidences
• Ability to respond to internal or external inquiries, including those of a sensitive, confidential, or adversarial nature

BENEFITS:
The hourly salary range for this position is $24.00 to $33.00. Actual pay may be adjusted based on experience and other job related factors permitted by law. This position also offers bonuses and a full benefits package.
