Position Overview

A well-established law firm is seeking an experienced Transactional Senior Practice Assistant to provide high-level administrative and legal support to multiple attorneys within a transactional practice group. This role serves as a key resource for attorneys and support staff, assisting with document preparation, client communication, workflow coordination, billing support, and department-wide administrative initiatives.

The ideal candidate will have extensive experience supporting attorneys in a law firm environment, exceptional organizational skills, and the ability to manage competing priorities in a fast-paced professional setting.

Primary Responsibilities

Attorney & Administrative Support

• Manage calendars, appointments, deadlines, and scheduling for multiple attorneys.
• Draft, revise, proofread, and format correspondence, agreements, memoranda, and other legal documents.
• Coordinate electronic and physical filing of legal documents with courts, agencies, and other entities as required.
• Handle client communications, including incoming calls, messages, and visitor interactions.
• Perform general administrative functions including document management, research, filing, copying, and record maintenance.
• Assist with monthly client billing review and invoice preparation.

Department Operations

• Support departmental workflow initiatives and maintain operational procedures and best practices.
• Serve as a resource to other legal assistants within the transactional practice group.
• Assist with complex legal support projects and special assignments from attorneys and department leadership.
• Provide coverage and backup support for other team members when necessary.
• Help ensure consistency, organization, and efficiency across departmental processes.

Qualifications

• Minimum of 8 years of experience supporting attorneys in a law firm or professional services environment.
• Experience supporting senior attorneys, shareholders, partners, or practice group leaders preferred.
• Strong proficiency in Microsoft Outlook, Word, and Excel.
• Familiarity with legal billing, case management, document management, or practice management systems preferred.
• Exceptional attention to detail and proofreading abilities.
• Strong written and verbal communication skills.
• Ability to manage multiple priorities and meet de2adlines in a fast-paced environment.
• Professional demeanor with strong interpersonal and client service skills.
• Experience conducting online research and utilizing public databases.
