Office Manager
OpalStaff
We are seeking a highly organized and detail-oriented Office Manager with a strong foundation in data organization, analytics, public health, and electronic document management. The ideal candidate will be proficient in HubSpot and possess excellent communication skills to help our team optimize data use and office operations. This position is located in Downtown Baltimore City and will have secure parking.
Key Responsibilities
- Data Management
- Organize, analyze, and maintain large datasets relevant to public health initiatives
- Ensure data integrity and accuracy through regular audits and updates
- Develop and implement data collection and analysis protocols
- Public Health Analytics
- Collaborate with the public health team to interpret data findings and support evidence-based decision-making
- Create reports and presentations that communicate data insights to stakeholders
- Office Management
- Oversee daily office operations, ensuring a productive and efficient work environment
- Manage scheduling, correspondence, and office supplies
- Provide administrative support to senior management and team members
- Electronic Document Organization
- Implement and maintain an electronic document management system for easy access and retrieval of documents
- Ensure compliance with data privacy and security regulations
- HubSpot Proficiency
- Utilize HubSpot for tracking leads, managing customer relationships, and analyzing marketing data
- Train team members on HubSpot functionalities and best practices
Qualification
- Education: Bachelor’s degree in public health, Data Analytics, Business Administration, or a related field.
- Experience: Proven experience in data management and office administration, Familiarity with public health data and analytics preferred. Experience with HubSpot or similar CRM platforms
- Skill: Strong analytical skills with a keen eye for detail.
- Excellent organizational and multitasking abilities.
- Proficient in Microsoft Office Suite and data visualization tools
- Exceptional verbal and written communication skills.
