HR Coordinator (I-9 Compliance)
HR Coordinator (I-9 Compliance) 6-Month W2 Contract Location: San Jose, CA Schedule: 100% Onsite | Monday–Friday | 8:00 AM–5:00 PM Pay Rate: $28.00/hour
We are seeking a detail-oriented HR Coordinator to join the HR Operations team on a 6-month contract assignment. This role will focus on employment eligibility verification and I-9 compliance activities, supporting new hire onboarding while ensuring adherence to federal regulations and company policies.
This is an excellent opportunity for someone looking to gain hands-on experience in Human Resources, compliance, and HR operations within a fast-paced, collaborative environment.
Key Responsibilities
I-9 Processing & Compliance
- Complete Section 2 of Form I-9 for new hires within required federal deadlines.
- Review and verify employee identity and employment authorization documentation in accordance with USCIS requirements.
- Accurately enter I-9 information into HR systems and maintain supporting documentation.
- Escalate incomplete, missing, or questionable documentation to the HR Operations Manager.
- Support compliance efforts by following established policies, procedures, and quality standards.
Records Management
- Maintain organized electronic and/or physical I-9 files in accordance with retention requirements.
- Ensure documents are properly filed, labeled, and securely stored.
- Track reverification dates and maintain related reporting and spreadsheets.
- Assist with audits and document retrieval requests as needed.
Administrative Support
- Communicate with employees and managers regarding pending I-9 requirements and deadlines.
- Respond to basic questions related to employment eligibility verification.
- Support ongoing HR Operations initiatives and administrative projects.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field, OR currently pursuing a degree in a related discipline.
- Alternatively, 1+ year of administrative experience in HR, legal, compliance, operations, or a similar environment.
- Strong attention to detail and ability to follow established procedures with accuracy.
- Excellent organizational, communication, and time-management skills.
- Ability to handle confidential information with professionalism and discretion.
- Proficiency with Microsoft Office and data entry systems preferred.
