Position Title: Legal Operations Coordinator Job Type: Full time or Part time - Flexible Location: San Jose, CA (On-site) Salary: Depends on Experience Work Authorization* this position does not provide Visa support General Position Summary: The Legal Operations Coordinator provides high-level administrative and operational support by coordinating contract review process, facilitating cross-functional communication, and supporting strategic business initiatives. This role serves as a key liaison between internal departments, customers, and external partners to ensure contracts, projects, and business activities are completed accurately and efficiently. The ideal candidate is highly organized, detail-oriented, exercises sound judgement, and thrives in a fast-paced environment while maintaining confidentiality and professionalism. Essential Job Functions: Coordinate the contract review process from submission through execution, ensuring timely communication with internal stakeholders, customers, and Sales team. Track contract statuses, deadlines, approvals, and required follow-up actions. Prepare, review, organize, and maintain business, legal, and meeting documentation, including contracts, presentations, agendas, and supporting materials. Communicate contract status updates to the Sales team, customers, legal counsel, and internal stakeholders. Schedule meetings and record action items to ensure timely follow-up. Serve as the primary point of contact for contract-related inquiries and escalations. Maintain organized electronic records and ensure document accuracy and version control. Support corporate strategic initiatives through project coordination and administrative support. Assist with process improvements initiatives to increase efficiency in contract administration and business operations. Preferred Experience and Qualifications: Associate’s or Bachelor’s degree in Business Administration, Legal Studies, Paralegal Studies, or a related field preferred. 5+ years of experience in an administrative, legal, contract administration, or corporate support role. Experience managing contract review processes, legal documentation, or coordinating cross-functional projects while maintaining strict confidentiality. Strong proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint), with exceptional organizational, time management, and multitasking skills. Excellent written and verbal communication skills, with the ability to build relationships and manage competing priorities in a fast-paced environment. Physical Requirements: Ability to sit for extended periods while working at a computer. Frequent use of computers, telephones, and other standard office equipment. Ability to communicate effectively in person, over the phone, and through written correspondence. Ability to occasionally lift and carry up to 20 pounds. Ability to move throughout the office to attend meetings and collaborate with team members.
