POSITION OVERVIEW

The Bid Coordinator plays a vital role in supporting Northstar’s preconstruction and estimating functions by ensuring that bid opportunities are well-organized, clearly communicated, and submitted on time. This role requires strong organizational skills, attention to detail, and the ability to manage multiple deadlines in a fast-paced environment. The Bid Coordinator serves as the central point of contact between estimators, subcontractors, vendors, and leadership, helping ensure pursuit efforts reflect accuracy, professionalism, and care.

KEY RESPONSIBILITIES

Bid Administration

• Coordinate receipt and distribution of bid invitations, addenda, and project documents.
• Organize and maintain bid files, project specifications, and plan sets.
• Track and manage bid schedules, deadlines, and deliverables.
• Support the preparation and assembly of complete, professional bid packages.

Subcontractor & Vendor Coordination

• Maintain subcontractor/vendor databases and contact lists.
• Distribute bid invitations and follow up with trade partners to confirm coverage.
• Assist in collecting, organizing, and comparing subcontractor proposals.
• Communicate scope clarifications, deadlines, and updates to trade partners.

Team Support & Collaboration

• Partner with estimators and project managers to clarify scope, resolve discrepancies, and align on strategy.
• Schedule and coordinate pre-bid meetings, kickoff calls, and site visits as needed.
• Provide administrative support during proposal preparation, including formatting, proofreading, and packaging final submissions.
• Assist leadership in tracking bid results, client feedback, and pursuit outcomes .

Culture & Process Improvement

• Uphold Northstar’s values in all communications with clients, teammates, and trade partners.
• Identify opportunities to improve bid coordination processes and tools.
• Contribute to a collaborative, team-first culture that emphasizes accountability, quality, and service.

QUALIFICATIONS

• 2–4 years of experience in bid coordination, estimating support, or construction administration (commercial construction preferred).
• Strong organizational and time management skills with the ability to handle multiple priorities.
• Proficiency with Microsoft Office Suite (Excel, Word, Outlook); experience with Procore, Bluebeam, or BuildingConnected preferred.
• Excellent written and verbal communication skills.
• Detail-oriented with strong proofreading and formatting skills.
• Self-starter with a collaborative mindset and positive attitude.
