Position Overview

Full performance level in the secretarial occupation under general supervision by the Supervisor, provides clerical support to Job & Family Services and Children Services Departments requiring considerable knowledge of clerical and administrative procedures in order to provide support and perform a variety of administrative tasks, as outlined in rank 1 job duties. Performs the material and substantial duties of the classification more than 50% of the time.

Summary of Job Duties

Operates current computer programs in use (i.e. SACWIS, Access, Excel, Word) Open Initial Kinship Permanency Incentive applications and also do Redeterminations (meets with clients on Face to Face redeterminations). Retrieves specific information from the computer using SACWIS and data entry of information into the State KPI system with accuracy. Prepares files/records for Kinship Permanency Incentive Program. Fingerprint clients for Kinship and Foster Parents and CSD clients. Maintains fingerprint log. Performs clerical tasks of precise technical or special nature; searches records. Process Justice Web on a daily basis. Answers phones and does routine filing of open and closed KPI files. Meets/consults with supervisor regarding systems design, workflow, problem solving, etc. Gathers, classifies and organizes information and independently responds to routine administrative requests. Prepares reports and formats reports as needed. Performs some administrative tasks, i.e. prepares and follows up on contacts, sets up office procedures, does research, gathers statistics, prepares reports, assists with budget, sets up and maintains confidential files, acts as a liaison between supervisor and other administrators or departments; coordinates details of meetings; maintains office functions (in absence of supervisor). Manages supervisor's appointments and schedules; makes travel and lodging arrangements; sets up meetings, prepares agendas and notifies participants; arranges conferences and speaking engagements. May assign, train, coordinate, schedule and evaluate work of temporary clerical. (Performs other duties as assigned)

Minimum Qualifications and Requirements

Completion of the twelfth (12th) grade supplemented with business courses and three years experience in a business office which demonstrates possession of the above skills, knowledge and abilities. Ability to assume some coordination activities with other clerical workers as assigned. Additional emphasis placed on ability to communicate verbally and in writing; ability to develop and organize systems; ability to anticipate and follow-up on needs. Must have experience on computers. Experience using SACWIS programs preferred.

Part-Time Employees (Benefits Eligible) (scheduled 21+ hours per week): Health insurance with HSA match, wellness program and incentives, life insurance, paid personal leave days, sick leave, holiday pay for hours scheduled to work on holidays, and access to dental, vision, short-term disability, accident & critical care benefits. Part-time Employees (Non-Benefits Eligible) (20 hours or less per week): Benefits include Long Term Sick Leave Accrual, Paid Personal Leave, and holiday pay for hours scheduled to work on holidays. Seasonal Employees: Benefits include Sick Leave accrued at 4.6 hours for every eighty 80 hours in active pay status. Seasonal employees scheduled to work 40 hours during their period of employment will accrue vacation in the same manner as regular full-time employees and can use their vacation after completion of twenty-six (26) bi-weekly pay periods in active pay status. Part-time Seasonal employees (scheduled to work less than 40 hours) do not accrue vacation. Intermittent and Temporary Employees: Long-Term Sick Leave accrual is based on hours worked.
