We are now accepting applications for a qualified Event Manager at Belmont University. Employment Type Staff Internal Job Category Exempt (Staff) Full-Time Department Strategic Venues & Event Svcs Hours 37.5 Primary Duties and Responsibilities The Event Manager position is responsible for managing events and clientele within the Office of Strategic Venues & Event Services. Essential Functions Serve as the turn‑key liaison for managing client relationships as it pertains to scheduled events hosted on the Belmont University campus. Perform event manager duties, which include, but are not limited to, advance events and procure applicable event details, conduct facility walk‑throughs with clients as needed, and communicate event needs to OSVES staff and University campus partners. Serve as Manager on Duty for assigned campus events. Assist with student workers and student employment program development. Prepare contracts and event estimates for clients. Secure event contracts, including lease agreements, usage policies, expense estimates, house policies, certificates of insurance and deposit payments. Coordinate and schedule Front of the House staffing for events on campus, including, but not limited to: house managers, ushers, vendor ushers, emergency medical services, security, and housekeeping. Maintain client account and database. Manage accurate billing information for each event, and assist with vendor invoice verification. Coordinate with Business Operations & Finance Specialist to ensure client invoices are received and paid. Assist in the development and distribution of materials relative to coordination, execution, sales or operations. Conduct accurate research and concisely summarize information. Calm and analytical with a solutions‑driven mindset when confronted with unexpected situations. Familiarity with the operation of a performance arts or event center and event lifecycle from booking to post‑event wrap‑up; ability to answer inquiries about available dates, estimate client expenses, explain usage policies, contract the event, and fully execute the needs of the event including production, technical support, facilities, etc. Exceptional oral and written communication skills. Knowledge or ability to learn room‑scheduling software such as EMS. Availability to work flexibly to cover nights, weekends, and/or holidays as needed. Strong working knowledge of Microsoft Office especially Word, Excel, and Outlook. Experience working in a fast‑paced environment and the ability to respond to high‑pressure situations. Ability to thrive in an environment of hard work. Ability to work effectively with a wide range of constituencies in a diverse community. Required Education Bachelor’s degree with course of study in business, finance, communications, hospitality management, sports administration, or performing arts or equivalent experience 2 to 1. Required Experience One year experience in arena, theater, convention center or hospitality operations/sales. Equivalent education may be substituted.
