As a Portfolio Community Association Manager, you will serve as the primary advisor and relationship manager to the Boards of Directors within an assigned portfolio of condominium communities concentrated in Bowie and Prince George’s County, Maryland.

You will lead the operational, financial, and strategic performance of each Association while guiding Boards, overseeing vendors and capital projects, monitoring property conditions, and coordinating communication among community stakeholders. You will be supported by an Assistant Community Manager and a collaborative pod structure, allowing you to focus on Board guidance, planning, problem-solving, and exceptional client service.

This role is ideal for a confident, proactive professional who takes ownership, makes sound decisions, and keeps multiple priorities moving. Success requires analytical thinking, direct communication, comfort navigating changing priorities, and disciplined attention to budgets, contracts, records, deadlines, and project details.

Hybrid remote work arrangement

Regular travel to assigned communities in Bowie and Prince George’s County

Property inspections and onsite meetings as required

Evening Board meetings as required

After-hours emergency response on an on-call basis as required

Serve as the primary point of contact and trusted advisor for assigned Boards of Directors

Build strong working relationships with Board members, residents, onsite staff, vendors, and internal partners

Provide timely, factual updates and clear recommendations on governance, property conditions, financial performance, projects, compliance matters, and open action items

Prepare agendas, reports, presentations, and supporting materials for Board meetings

Attend Board meetings and ensure decisions and action items move through completion

Anticipate emerging concerns, evaluate available information, and recommend practical next steps before issues become larger problems

Manage the day-to-day operations of assigned communities in accordance with governing documents, company standards, contracts, and applicable laws

Respond to Board and resident questions, escalations, incidents, and service concerns with urgency, professionalism, and sound judgment

Balance the needs of residents and Boards with governing documents, legal requirements, operational priorities, and the long-term interests of each Association

Maintain accurate community records and oversee incident reports, insurance claims, correspondence, and other administrative requirements

Delegate appropriate follow-up to the Assistant Community Manager and pod partners while maintaining accountability for results

Respond to after-hours emergencies on an on-call basis when required

Review monthly financial statements and translate financial information into clear recommendations for Boards

Prepare annual operating budgets using historical results, contractual obligations, maintenance needs, project plans, and funding requirements

Support long-term reserve planning and help Boards evaluate current and future financial needs

Approve invoices, monitor expenditures, investigate discrepancies, and identify opportunities for cost savings

Obtain and evaluate competitive bids and present fact-based recommendations for Board consideration

Track financial decisions, approvals, deadlines, and supporting documentation accurately

Conduct regular property inspections to identify maintenance needs, compliance concerns, safety issues, and opportunities to protect or improve property value

Develop and oversee preventive maintenance and capital improvement plans

Manage contractor projects from scope development and bidding through execution, documentation, and completion

Negotiate contracts, monitor vendor performance, and ensure quality, cost-effective service delivery

Address incomplete or unsatisfactory vendor work and resolve service concerns

Maintain clear project plans, schedules, documentation, and follow-up across multiple initiatives

Recommend improvements that strengthen safety, service, operational efficiency, and the long-term condition of each community

Lead, coach, and support onsite staff while maintaining clear expectations and accountability

Partner with Human Resources on hiring, performance management, and employee development

Foster a responsive, collaborative, and service-oriented culture among onsite teams and vendor partners

Create or improve practical systems and processes that support consistent execution, visibility, and follow-through

Three to five years of experience managing condominium residential communities

Experience managing multiple communities in a high-growth or fast-paced environment

High school diploma or equivalent

CMCA designation or the ability to obtain the CMCA within six months of hire

Knowledge of community association governance, bylaws, governing documents, and relevant laws in DC, Maryland, or Virginia

Financial acumen involving operating budgets, monthly financial reports, expenditures, and reserve planning

Excellent written and verbal communication skills and a commitment to delivering an exceptional client experience

Strong organization and time-management skills with consistent attention to detail, documentation, and follow-through

Ability to work independently, make sound decisions, and know when to involve the appropriate partner

Availability for community travel, property inspections, evening Board meetings, and occasional after-hours emergencies

Proficiency with property management and customer service platforms such as AppFolio, CINC, Vantaca, or comparable systems

Bachelor’s degree

AMS or PCAM designation

Experience supervising onsite employees and partnering with Human Resources on performance management

Experience leading preventive maintenance, major repair, or capital improvement projects

Experience managing insurance claims, vendor contracts, and competitive bidding processes
