Job Description: Facilities Support Specialist Position Type: Full-Time, 100% On-site Schedule: Mon-Thu, 7:00 AM - 4:30 PM (30-min lunch) | Fri, 7:00 AM - 11:00 AM (40 hours/week) Role Overview The Facilities Support Specialist maintains daily office operations, safety compliance, and workplace readiness. This hands-on role balances light maintenance, basic IT setups, inventory management, and employee customer service in a dynamic corporate environment. Key Responsibilities Facilities & Maintenance: Handle light repairs (furniture adjustments, minor plumbing issues). Assess complex building needs, escalate to landlords/property management, and coordinate on-site vendor visits. Office & Kitchen Operations: Stock and clean kitchen areas daily; order supplies and reconcile delivery invoices. Replenish printer/plotter paper and toner, assist users, and schedule equipment service calls. Mailroom & Logistics: Receive, secure, and distribute incoming packages (FedEx, UPS, USPS, Amazon). Process outgoing mail and shipments using corporate accounting codes. Basic IT/AV Support: Set up workstation hardware (monitors, docking stations, cabling). Troubleshoot conference room AV systems and basic user equipment issues; route advanced tickets to corporate IT. Safety & Compliance: Serve as the Office HSE Partner and floor warden; complete provided First Aid/CPR/AED training. Log monthly safety metrics (fire extinguishers, inspections) and upload utility data to sustainability tracking tools. Security & Admin Support: Provide backup reception coverage. Manage office security files (ID badges, access cards, visitor logs, parking files). Issue building signage and assist with meeting/event setups. Requirements & Qualifications Physical & Logistics: Ability to lift up to 25 lbs, bend, carry materials, and climb ladders. Must possess reliable, all-weather personal transportation for daily attendance. Technical Skills: Proficiency with Microsoft Office (Teams, Outlook, Word, Excel) and PDF editing. Photoshop knowledge is a plus. Comfort using basic tools (drills, levels, tape measures) and setting up computer peripherals. Professional Skills: Strong customer service, attention to detail for tracking invoices and inventory, and the adaptability to handle changing daily priorities.
