Join our team!Position Profile: The Standley Systems’ Sales Support Specialist will provide administrative support to the Standley Systems Sales Department and the Technology Portal. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. The ability to interact with staff and departments (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. This position will be reported directly to Director of Admin Operations.Primary Responsibilities:Assist Sales Teams with day-to-day activities.o Reviewing Sales documentation-Sales Admin Review, Contracts Review, Rejectionso Help process electronic signatures requestso Lease Coordination-Work with financial partners on Credit and Buyout reviewo CRM – Account reassignment and other duties as requestedo Business Technology Review preparation for Sales Departmento Gather & report weekly L10 metrics & assist with facilitating L10 meetings.o Assist with all aspects of reporting, to include Forecasting, CRM, CPQ, MIF, E-auto lists.o Assist Directors with New Hire preparations. Technology is in place, work area is clean, supplies ready, welcome packets prepared, assisting with scheduling training and keeping detailed schedule.o Assist with all aspects of projects, accounts, quarterly reviews, and bids.o Assist sales reps with client information requests from CRM, CPQ / E-auto & related sources.o Commission tool administratoro Coordinate / research / approve lead payoutso Assist Sales Department with paperwork questions and import of orderso In charge of implementing all office procedures, including conference room meeting policy, demo lunch process, inter-office mail system, emergency evacuation plans.Meetings, Events & Portal:o Schedule & coordinate all meetings in the Portal including verifying availability on Portal calendar.o Schedule & coordinate all internal meetings and ensure refreshments and rooms are made ready for event (set up and breakdown with help from team).o Coordinate Catering, snacks & drinks according to guidelines while making sure stock for needed items is organized and available.o Coordinate manpower needs at onsite events & assist with assignments day of event.o Assist with keeping portal & office stocked with paper goods and office supplies and ensuring the office is clean and organizedo Assist with sales meeting related planning.o Assist Marketing Coordinator with customer-related event planning.o Assist with events related to your assigned sales territory including BIG FRED, Spirit Week and QSMAdditional Responsibilities:o Provide office front door coverage.o Facilities maintenance: full office organization, cleanliness, reporting maintenance needs to Chickasha, and communicating with cleaning crew.o Perform general clerical duties to include photocopying, faxing, mailing, and filing.o Assist Contracts with projectso Help with toner requests from Supplies including toner inventoryo Ensure that the sales intranet page is kept up to dateOther duties as assigned by Team Lead or ManagerQualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
