Human Resources Specialist

Overview The Human Resources Compliance Specialist ensures that company policies and procedures align with the appropriate federal, state, and local laws and regulations including but not limited to the Family Medical Leave Act (FMLA), Workers Compensation, affirmative action (AAP), EEO-1 and auditing the various HR functions to ensure regulatory requirements are met. Additionally, the Human Resources Compliance Specialist I partners with the third‑party vendor to ensure regulatory compliance and final decision on absence requests approvals. Responsibilities Ensures managers and associates understand how to apply for regulatory leave of absence (FMLA & Work's Compensation) and ADA disability accommodations. Submits prompt and accurate reporting of work‑related incidents and maintains up‑to‑date work status documentation. Provides guidance on Trustmark's third‑party leave of absence vendor by responding to associate inquiries. Reviews third‑party vendor leave of absence approvals to ensure compliance with Trustmark's policies and practices. Acts as the quality‑control reviewer for third‑party vendor reports and communicates any discrepancies to account administrators. Clearly and accurately communicates HR compliance policies, practices, procedures and regulatory timeline requirements to Trustmark associate inquiries. Manages associate absences for approved leave. Assists in conducting and reporting various audits as needed on a monthly or quarterly basis including, but not limited to, applicant tracking, I‑9 management, FMLA usage, etc. Assists with required federal regulatory audits directed by OFCCP or OSHA. Inputs data to ensure proper documentation and regulatory compliance. Performs all additional duties as assigned. Qualifications 2+ years in Human Resources to include prior experience in HR compliance (FMLA, ADA, EEO, etc.) OR 4 years as a HR generalist handling HR compliance related topics and/or leave administration. Must have outstanding oral and presentation skills including the ability to communicate effectively with all levels of associates and outside vendors. Must have intermediate level knowledge of Microsoft Office / Productivity Tools (Excel, PPT, Word). Knowledge of federal and state employment regulations (FMLA, ADA, EEOC, etc.). Critical‑thinking and decision‑making skills. Stakeholder coordination. Collaboration tools (Teams, SharePoint). Confidentiality and integrity. Relationship‑management experience. Four‑year degree in business, human resources, or related field of study preferred. Experience with some regulatory examination and internal audit experience preferred. Must be able to sit for long periods of time and use computer keyboard and/or mouse requiring hand and wrist manipulation, while viewing computer screens.
