Payroll Support Specialist

Payroll SpecialistThe Payroll Specialist supports the end-to-end processing of weekly, in-house payroll for approximately 2,000+ employees. This role will serve as the primary backup to the Senior Payroll Specialist, providing critical support in all payroll operations. A strong focus will be placed on union payroll reporting and compliance, requiring in-depth knowledge of collective bargaining agreements, union deductions, and benefit remittances.Customer service, both internal and external, strong analytical skills, exceptional attention to detail, the ability to thrive in a fast-paced, deadline-driven environment, and adherence to company policies and controls are the primary responsibilities of this position.Job ResponsibilitiesDailyProcess Manual Checks and Separations as neededRespond to inquiries via phone and email, exuding superior customer service to internal and external customersEnter changes, such as direct deposit, tax, rate, etc.Review and approve Travel and Expense reportsServe as primary backup for the Senior Payroll Specialist, supporting all payroll functions and taking full ownership in their absenceWeeklyProcess weekly payroll for approximately 2,000+ employees as neededPrint and mail pay vouchers to employeesProcess garnishments & issue payment to vendorsManage employees working in multiple statesProcess weekly Union 401K ACH DraftMaintain and update payroll system records, including wage adjustments, new hires, terminations, and status changesMonthlyManage and prepare accurate and timely monthly union payroll reports in compliance with multiple collective bargaining agreementsReconcile union dues, benefit contributions, and other deductions; ensure timely remittance and resolve discrepancies with union representatives as neededAnnual and Other ResponsibilitiesEnsure payroll is processed in accordance with federal, state, and local laws, as well as company policies and union contractsAssist with improving payroll processes and proceduresServe on special committees from time to time as a contributing team memberAny other duties, both within payroll and outside of payroll, as deemed necessary by managementAssist in providing back-up for audits or other inquiriesBasic QualificationsEducation and ExperienceAt least 3+ years of payroll experience processing full cycle, and in-house payrolls with at least 500 employeesMust have basic PC experience in Windows environments, working knowledge of Word processing, spreadsheets, e-mail, Web-enabled applications, and database softwareMinimum High School Diploma requiredKnowledge, Skills, and AbilitiesAble to work with a diverse group of peopleMust be proficient in Microsoft Office and 10-key data entryExceptional accuracy and attention to detail skillsStrong customer orientationCapable of problem analysis and resolutionExcellent interpersonal and communication skillsAbility to use time productively, maximize efficiency, and meet work goals with little supervisionMust possess and maintain an exceptional work ethic as well as uphold company values and demand the highest standard of conduct from self and othersMust be a self-starter, with the ability to work well as part of a team and independentlyPreferred RequirementsAt least 1 year of union payroll experiencePayroll experience in the construction industry with union employees and multiple CBAsHaving a Fundamental Payroll Certification (FPC) is a plus1 year of Microsoft Dynamics experienceWorking Conditions and Physical EffortsWork is normally performed in a typical interior/office environment.
