Responsibilities Process refill requests received from pharmacies via fax or electronically while complying with a protocol. Analyze Electronic Medical Record chart notes and check for the presence or absence of required laboratory tests. Review renewal requests to ensure the patient has a participating Pharmacy Refill Access Center (PRAC) physician and documentation of previous or future appointments in the clinic schedule. Ensure each refill request has appropriate documentation required to process the refill. Appropriately notify the prescribing provider of any protocol criteria that are not met after reviewing the requested medication. Notify the correct entities if a patient has not adhered to the laboratory/monitoring parameters established by the prescribing physician for a requested refill. Process refill requests received from pharmacies via fax or EMR with accuracy and attention to fine details. Accurately document refill request decisions in the EMR based on provided policies and protocol criteria. Quantify and provide daily counts to the Refill pharmacist supervisor, including completed faxed refill requests for the day, number of unprocessed faxes for the assigned clinic, and number of refill requests that came in overnight. Collaborate positively with colleagues, supervisor, and customers orally and in writing. Keep records of the number of refills processed and process all refills with attention to detail. Provide timely refill in accordance with program policies (all refills to be processed within 48 hours). Understand and follow workflow designed for the Refill center, and be able to educate clinic staff and others regarding the Refill process. Update patients on the status of their refill requests via phone or portal if needed. Answer, screen, and process incoming calls or phone messages in a professional manner. Utilize and adhere to a phone script, clinical decision trees, and guidelines. Use independent knowledge within scope of practice to determine if a refill can be renewed or if it needs to be forwarded to the appropriate individual. Determine reason for calls and assist callers with their concern with a focus on first call resolution. Facilitate routing of the issue if unable to resolve it themselves; when needed, escalated to pharmacy manager and request appropriate information to facilitate effective resolution. Perform other duties as assigned. Education and Experience High school diploma or equivalent. Completion of an accredited Pharmacy Technician School. Minimum of 2 years experience working in retail pharmacy or a specialty pharmacy. Skills and Abilities Self‑motivated and capable of working with minimal supervision, while recognizing when to seek assistance. Proficient in pharmacy calculations, operating fax machines, photocopying, and voice mail systems. Comfortable with Electronic Health Record (EHR) systems; willingness to learn if not previously experienced; demonstrates computer proficiency in Word, Excel, and PowerPoint. Ability to follow written medication protocols, perform refill quantity calculations, double‑check doses, and confirm route and direction of use against physician orders in the EHR before processing refills. Knowledge Familiarity with electronic communication methods (email, computer messaging) and e‑prescribing capabilities and limitations. Knowledge of clinic and department policies. Other Requirements Adaptability to change. Ability to work in a team environment that may change or fluctuate. Ability to model excellent customer service. Preferred Qualifications Bachelor's degree in a health‑related field; advanced degree preferred. Licenses/Certifications Active California Pharmacy Technician license (CPhT) in good standing and registered in the State Pharmacy Technician Registry (CA DCA). Fire Life Safety Training (required in LA County City); must obtain within 30 days of hire and renew prior to expiration. Compensation Hourly rate range: $29.00 – $45.20.
