Job overview This role will be responsible for providing administrative support to the CAMHS team based at Mary Chapman House, supporting the Consultant Child & Adolescent Psychiatrist so that an efficient service can be delivered to our service users. We are looking for someone who can communicate in a professional manner with patients, relatives and professionals, with a compassionate nature and the ability to remain calm when working under pressure. You will need to prioritise your workload and handle confidential and sensitive issues with tact and diplomacy. This post is part time, office based, 15 hours per week, with the days and times to be agreed with the successful candidate. Main duties of the job Demonstrate excellent time‑management skills and a positive approach, remaining calm under pressure. Deal with confidential and sensitive information, including telephone calls from distressed or upset individuals. Provide efficient administrative support, prioritising tasks and working to deadlines. Evidently work flexibly and on your own initiative while maintaining confidentiality. May be asked to undertake other appropriate duties, being adaptable and flexible to service needs and changes across the locality. Benefits Comprehensive in‑house and external training programmes. Detailed job description and main responsibilities Our Senior Medical Team Administrator will be responsible for providing a high level of administration support to identified medical colleagues within a Multi‑Disciplinary Team. Diary management, including booking clinics/appointments, planning meetings and arranging travel. Drafting correspondence and updating records; audio and copy typing of letters, e‑mails, summaries and reports with a focus on accuracy and presentation, completing within given deadlines. Providing a confidential and efficient administrative service to teams. Maintaining an efficient process of entering correspondence onto the Electronic Patient Record (EPR) system. Organising venues, accommodation and agendas for meetings. Qualifications Diploma or equivalent secretarial experience at an advanced level. NVQ 3 Business Administration or equivalent, or willing to work towards it. Pitman/RSA III Typing/Word Processing or equivalent advanced secretarial experience. NVQ 2 Customer Services or working towards it. Knowledge of Trust electronic record system. ECDL certification. Experience Understanding and experience of a full range of secretarial procedures and systems gained through senior level work. Working on own initiative without supervision. Ability to work with senior members of staff across a large organisation. Day‑to‑day line management. Other Able to travel independently. Able to work as part of a team. Able to work to strict deadlines and prioritise own and others’ workload. Skills Excellent articulate communication skills. Ability to co‑ordinate and prioritise management diaries. Advanced keyboard skills. Knowledge Working knowledge of Microsoft packages or equivalent. Maintaining administrative/secretarial systems. Knowledge of NHS policy and procedures. Knowledge of medical terminology. Establishing and reviewing administrative systems.
