Job Function Summary Involves analytical studies on a variety of policies, projects, programs and issues in support of a function, research initiative, program and / or organizational unit, or in research of new or changing systems and programs. Assists in policy and program planning, development, administration, management and implementation; interprets, monitors and analyzes information regarding policies and procedures and provides consultative services to department administrators and other stakeholders. Custom Scope Join our dynamic team in the UCSF Division of Geriatrics and lead operations for our innovative online advance care planning program, Prepare for Your Care (PREPARE). As our full‑time PREPARE Program Manager of Strategy and Partnerships, you'll play a pivotal role in supporting the Principal Investigator (PI) to sustain and expand our community, clinical, and research initiatives, with a focus on serving diverse socially and medically vulnerable older adults and their caregivers. In this multifaceted role, you'll dive into the heart of program management, helping to develop and track program goals while playing a central role in building the program's financial sustainability by managing foundation communications and supporting our licensees and research collaborators. Your strong organizational and interpersonal skills will be essential in forging and maintaining relationships with community‑based organizations, government agencies, health systems, and industry partners to broaden PREPARE's reach and impact. You will also oversee consultants and collaborate with team members across a variety of key projects. These initiatives may involve website development, legal review of our easy‑to‑read advance directives, PREPARE content improvements, marketing efforts, and research innovations. Your responsibilities will range from overseeing project budgets and deliverables to helping write grant applications, drafting newsletters, and collecting and analyzing user feedback. You are an excellent communicator (both verbally and in writing) and can build and sustain collaborative working relationships. You bring a wealth of technical and organizational skills, proficiency in project management tools and software, and experience with social media platforms. You also have a passion for public health and helping people have a voice in their health care. Duties & Essential Job Functions 40% Coordinates implementation with cross‑organizational departments or external entities as needed. Manage consultants and contracted work, setting and tracking milestones and deliverable dates, developing agendas for, leading, and taking notes during project meetings, and working closely with the Grants Manager to ensure payment of services. Work closely with consultants, contractors, and collaborators to develop scopes of work, budgets, and reports related to fundraising, marketing, website, legal analysis, and research projects. Create and maintain national and local partnerships with key stakeholders. Serve as reliable and knowledge point person for projects and activities and liaison to external stakeholders. Be a liaison to community and research collaborators, program officers, foundations, and licensees, which may include health systems, health plans, and commercial entities. Field licensing requests and coordinate information to share with the PI and Office of Technology Management. Maintain materials provided to licensees, co‑brand them as needed. Develop templates and other tools to support licensing relationships. Track and build licensing relationships in communication with the PI and Office of Technology Management. 20% Provides analyses for complex budget, financial, academic, data, systems and resource projects working directly with all levels of managers; develops proposals and recommendations to guide and support a broader strategic direction for the organization or initiative; develops scope of work, budgets, and reports for project requirements; researches and drafts complex proposals, reports, briefings, executive summaries, and speeches; establishes and maintains contacts internally and with external constituents for the collection and exchange of data. Identify new National Institutes of Health (NIH), Patient‑Centered Outcomes Research Institute (PCORI), foundation, and other funding opportunities for program sustainability and expansion. Assist with writing applications and progress reports, adhering to instructions. Track and build foundation relationships. Monitor and update donation campaign. Collaborate with Office of Sponsored Research, University of Development and Alumni Relationships, and Division of Geriatrics finance team as appropriate. Work closely with PI and Grants Manager to ensure timely submission of reports and other project requirements/deliverables. 15% Coordinates efforts with a variety of external and internal contacts; researches organizational structures, policies and procedures and summarizes best practices in field; provides technical guidance and quality assessment. Coordinate the creation and ongoing tracking of program goals, including leading team meetings and retreats. Use project management software (e.g., Smartsheet using Kanban methods) to design and track projects, manage information databases (e.g., on user feedback, donation campaign contributions, and licensing), and review team tasks. Develop and implement systems to organize information and optimize efficiency (e.g., file management approach). May delegate tasks to other team members and provide direction/supervision to ensure task completion. May hire, train, and directly manage new staff as needs arise. May support other special projects that add to the success of the program/unit. 10% Researches, monitors and analyzes regulations, legislation, research literature and UC policies for impact on the organization or initiative; researches and summarizes best practices in field; proposes, leads and/or participates on policy and planning committees and working groups; provides strategy development for organizational or research initiative; prepares directives, regulations, technical guidance, and other instructions for issuance to stakeholders. Ensure PREPARE content meets internal/external regulatory requirements. Serve as subject matter expert in best practices and compliance, and share knowledge with other team members, including the PI. Help to oversee and comply with IRB regulations. 10% Performs ad‑hoc, analytical studies on a wide variety of policies, programs and issues which are complex in nature; researches and analyzes processes and procedures, summarizes findings, policies and organizational structures in order to develop and/or implement changes and to provide consultative services to department administrators, partners and external stakeholders. Oversee PREPAREforYourCare.org analytics (via Google Analytics and a custom platform) to better capture uptake and use. Work with the Office of Communications and consultants to promote and disseminate PREPARE through national and local media, social media engagement, and partnerships with organizations. Draft press releases, newsletters, and social media posts. Create content for PREPAREforYourCare.org and select Division of Geriatrics webpages, as well as study materials. 5% Conducts post‑implementation analysis to determine the need for further enhancements, finer distinctions and/or additional process / policy components. Help improve the design of and implement licensing offerings, including analyzing past results to determine the need for further enhancements. Identify and implement opportunities to make licensing more automated and efficient. Support the development a plan for financial sustainability that matches growth opportunities with adequate revenue generation. Required Qualifications Bachelor's degree in public health, research administration, health policy, or related field and/or equivalent experience/training. 3 or more years of relevant experience. Knowledge of common organization‑ or research‑specific and other computer application programs, such as Smartsheet, Google Suite, Google Analytics, Microsoft 365, REDCAP, and social media applications. Excellent demonstrated oral and written communication, organizational, analytical and problem‑solving skills. Ability to use discretion and maintain all confidentiality. High proficiency in working independently and with other team members. Able to build and sustain collaborative working relationships with team members and other stakeholders. Demonstrates awareness of self and others in daily behaviors to promote smooth coordination and partnership in delivering shared work products and results. Able to receive and provide feedback in ways that promote collaboration and support team and project performance. Strong skills in analyzing, researching and synthesizing large amounts of data for preparing sound and relevant proposals, analyses, and reports. Excellent program management skills; ability to develop and see complex projects through from start to completion. Strong policy analysis techniques. Able to make requests and generate buy‑in for. Self‑motivated, flexible, detail‑oriented, and able to manage multiple responsibilities concurrently and independently. Preferred Qualifications Experience in areas of underserved populations, public health, health care policy, marketing, licensing or similar fields. Experience with grant writing. Experience with social media and press releases. Experience with InDesign. Knowledge of advanced care planning, palliative care and/or caregiving.
