Hybrid Legal Administrative Assistant

Foley Mansfield is a national law firm with more than 110 attorneys in offices from coast to coast. We seek an experienced Legal Administrative Assistant to join our Southern California team. The ideal candidate will have a minimum of 5 years of legal assistant experience, with a background in Products Liability and/or General Liability Litigation. This position allows for a hybrid schedule: 3 days work from home/2 days in office. Of course you may choose to work in the office more often. Responsibilities Managing Office and Attorney Calendars: Review attorney calendar weekly and send reminders regarding upcoming deadlines Ensure all deadlines are met Create and send calendar invites as requested Document Management and Drafting: Prepare shells for various documents; finalize documents before filing Keep accurate and up-to-date records; help maintain case files E-Filing: File legal documents electronically with courts and other external bodies Ensure compliance with all filing requirements Approximately 90% state court filings; 10% federal or appellate filings Expense and Bar/CLE Management: Submit attorney expenses in a timely manner Maintain attorney bar admissions, CLE credits, and various professional association memberships Meeting and Trial Preparation: Assist in preparing materials for depositions, hearings, trials, and other meetings Ensure all necessary documentation is in order Qualifications Minimum of 5 years legal assistant or legal secretary experience Extensive knowledge of state court rules Proficient in Microsoft Suite applications Experience using macros and styles to format Word documents, including Tables of Contents and Tables of Authorities Proficient in using a document management system Ability to think critically and independently tackle new challenges Excellent organizational and multitasking skills Effective communication and interpersonal skills We offer a competitive salary and benefits package, which includes healthcare, dental, vision, life insurance, disability, 401(k), professional development and training, generous PTO and paid holidays, mental health benefit, and more.
