Hansell Tierney is partnering with a private family office to identify a Office Manager to support the day-to-day operations of a highly professional, discreet, and service-oriented office.
The family office serves the philanthropic, personal, financial, investment, fiduciary, and administrative interests of a private family and its related entities. The Office Manager will play an important role in keeping the office organized, responsive, and running smoothly while supporting a wide variety of operational and project-based needs.
This is a hands-on position for someone who enjoys solving problems, creating order, anticipating needs, and taking ownership. The successful candidate will be comfortable moving between administrative work, project coordination, vendor management, office logistics, and the occasional practical problem that simply needs to get solved.
The ideal candidate brings 5+ years of relevant professional experience , exceptional attention to detail, sound judgment, discretion, and a low-ego, service-oriented approach.

Key Responsibilities:
Office Operations
- Oversee day-to-day administrative and operational needs and ensure the office runs smoothly.
- Maintain a professional, organized, and welcoming office environment, including conference rooms, kitchen, common areas, and workspaces.
- Serve as the primary liaison with building management for maintenance, repairs, access, and other facility needs.
- Manage relationships with outside vendors and service providers, including coordinating work, reviewing invoices, and following through on outstanding items.
- Organize team meetings, weekly lunches, office gatherings, and other all-team events.
- Coordinate logistics for internal and external office guests.
- Manage conference room scheduling and support the setup and launch of virtual meetings.
- Handle office opening and closing responsibilities on in-office days.
- Manage incoming and outgoing mail, packages, deliveries, purchasing, and shipping.
- Maintain office supplies, groceries, gifts, and other workplace needs.
- Run occasional local errands and coordinate pickups or deliveries as needed.
- Create and maintain office schedules, procedures, documentation, and organizational systems.
- Identify opportunities to improve office processes and implement practical solutions.
Hands-On Office Support & Problem Solving
- Serve as a resourceful first point of contact when everyday office equipment or facilities issues arise.
- Perform basic troubleshooting of office equipment, appliances, technology, and other workplace items before escalating to the appropriate vendor or service provider.
- Be comfortable taking a hands-on approach to understanding and solving practical problems, whether that means troubleshooting a coffee maker, assembling or adjusting an office item, or determining the appropriate next step for a repair.
- Coordinate professional maintenance or repair services when an issue requires specialized expertise.
- Assist with moving, organizing, stocking, and transporting routine office supplies and items weighing up to approximately 30 pounds.
Project Support
- Support the planning and coordination of projects across the family office as requested.
- Assist with establishing project plans, timelines, action items, and follow-up.
- Track multiple projects, deliverables, and deadlines simultaneously.
- Gather and organize information from internal and external sources.
- Conduct research across a variety of topics and synthesize findings into concise, useful summaries.
- Present research and project updates through meetings, written communication, and other appropriate formats.
- Coordinate with internal team members and outside partners to keep projects moving.
- Cross-train and provide backup support to other team members.
- Take on increasing project ownership as experience and familiarity with the organization grow.
- Perform other work-related duties as needed.
Qualifications & Characteristics
- 5+ years of experience in office management, workplace operations, administrative support, project coordination, or a related professional environment.
- Exceptional organizational skills and attention to detail.
- Demonstrated ability to manage a high volume of tasks and projects with competing priorities and deadlines.
- Excellent written and verbal communication skills, including strong editing and proofreading abilities.
- Confident and concise writer who can synthesize information and turn requests around quickly.
- Strong working knowledge of Microsoft Outlook, Word, Excel, and Adobe Acrobat.
- Self-motivated, proactive, resourceful, and comfortable taking ownership without significant oversight.
- Strong problem-solving skills with a natural inclination to investigate, troubleshoot, and find solutions.
- Mechanically inclined and comfortable performing basic troubleshooting of everyday office equipment, appliances, and workplace items.
- Good judgment regarding when to independently resolve an issue and when it should be escalated.
- Straightforward, confident, and diplomatic communication style.
- Able to naturally track the progress of multiple projects, tasks, and deadlines.
- Self-sufficient while remaining highly collaborative.
- High level of integrity, maturity, intuition, and discretion when handling confidential information.

- Current driver's license and access to a reliable, insured vehicle.
- Ability to successfully complete a thorough background investigation and reference check.
Physical & Practical Requirements
- Ability to lift, carry, move, and stock routine office items weighing up to approximately 30 pounds.
- Ability to perform local errands and transport routine office supplies, groceries, gifts, packages, or similar items as needed.
- Ability to move throughout an office environment and perform hands-on tasks associated with maintaining an organized and functional workplace.
Preferred Qualifications
- Experience supporting a family office, investment office, executive office, professional services organization, or other highly confidential environment.
- Prior experience supporting executives, principals, or senior leadership.
- Experience coordinating projects involving multiple stakeholders, vendors, or workstreams.
- Demonstrated interest or aptitude for taking on broader project management responsibilities over time.

Compensation & Benefits
The expected base salary range for this position is $90,000$110,000 annually , depending on experience and qualifications. The position includes a comprehensive benefits package.
