Workflow Coordinator

We are looking for a Workflow Coordinator to support high-volume document and administrative operations for a client team in Los Angeles, California. This Long-term Contract position is ideal for someone who can organize incoming requests, manage competing priorities, and maintain strong quality standards in a fast-paced environment. The role requires sound judgment, clear communication, and the ability to keep projects moving efficiently while supporting document handling and client service needs.Responsibilities:• Receive and review incoming assignments, confirm expectations with requesters, and establish practical delivery timelines based on workload and urgency.• Organize and distribute work across multiple priorities, ensuring time-sensitive projects are handled efficiently and escalations are addressed promptly.• Monitor document formatting and proofreading quality, applying established standards and reference materials to maintain accuracy and consistency.• Serve as a primary point of guidance for questions related to document preparation, quality checks, and production best practices.• Communicate proactively with clients and leadership regarding scheduling concerns, changing priorities, and issues that may affect completion times.• Troubleshoot Microsoft Office and related business software issues that impact document production and day-to-day workflow.• Support document intake and handling activities such as scanning, document processing, and coordination of clerical requests.• Assist with mailroom and phone coverage duties as needed, including managing multi-line call activity and routing requests appropriately.
