Senior HR Administrator — Hybrid, Talent & Compliance

Job Title Senior Human Resources Administrator Location Stanford University School of Medicine, Stanford, California. Job Overview Within the Department of Anesthesiology, Perioperative, and Pain Medicine, the Senior HR Administrator supports a wide range of HR functions including talent acquisition, employee relations, compensation and benefits, disability and leave administration, performance management, HR transactions, and compliance reporting. The role serves as a key resource for faculty, managers, and staff, providing guidance on HR policies and processes and ensuring compliance with university policies and employment regulations. This position is 90% operational and 10% consultative. Responsibilities Compensation and benefits: Process basic and complex compensation and benefits-related transactions, ensuring adherence to university policies and guidelines. Assist managers with associated questions and refer to senior HR team members as needed. Disability and Leaves / Worker's Compensation: Answer routine questions and explain applicable disability/leave and workers’ compensation procedures, generate related correspondence, and coordinate with specialists when appropriate. HRIS/People Analytics: Support data entry and record retention; compile HR metrics using the HCM system for compliance and audit purposes, and create customized reports when requested. Performance Management: Assist in communicating the annual performance appraisal process, review and track forms, and address inquiries related to the program and technology. Talent Acquisition: Support the candidate experience including job postings, screening, interview scheduling, rater feedback, disposition of candidates, and coordinating onboarding and exit processes for staff. Transactions: Manage high-volume HR transactions such as hiring, personnel changes, reclassifications, and related activities, following university guidelines. Documentation Advisory: Advise on documentation requirements and revise documents to meet university and legal standards. File Management: Maintain personnel and HR-related files. Team Lead (optional): Oversee day-to-day work of other staff, schedule, assign work, set deadlines, review quality, onboard new staff, and provide performance-review input. Policy Consistency: Ensure policies, procedures, and requirements are maintained in line with Stanford HR guidelines and applicable laws. Inclusive Culture: Foster an inclusive workplace where all employees feel valued, respected, and empowered. Desired Qualifications Bachelor’s degree preferred. HR and recruiting experience a plus. Advanced computer skills: Microsoft Office, Google Suite, Smartsheets. Experience in higher education a plus. Education & Experience (required) Associate Degree and two years of relevant human resources experience, or a combination of education and experience. Knowledge, Skills and Abilities (required) Behavioral competencies: Refer to competencies for HR Support. Technical competencies: Strong accuracy and attention to detail; proficiency with business applications, Microsoft Office suite, Google suite, Smartsheets; ability to maintain confidentiality and handle sensitive information with sound judgment, tact, and discretion. Basic ELR experience preferred. Certifications & Licenses aPHR or SHRM-CP / PHR preferred. Physical Requirements Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone. Occasionally write by hand, twist/bend/stoop/squat, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, lift/carry/push/pull objects up to 10 pounds, sort/file paperwork.
