Job Summary
SCORE’s Director of Finance is a key leader responsible for guiding day-to-day financial operations and supporting strong financial management and strategy across the organization. Combining strong accounting and financial management expertise with excellent judgment and attention to detail, the person in this role ensures SCORE’s financial health, supports sound decision-making, and maintains compliance with regulatory and reporting requirements.
The Director of Finance leads several key projects throughout the year while maintaining critical ongoing functions. Key projects include the annual budget development process in collaboration with the Vice President of Finance and Operations, and the annual external audit. The person in this role will lead all day to-day finance operations of a budget of $23.5 million, including functional responsibility over accounting, accounts payable, accounts receivable, payroll, and grants administration. Also responsible for ensuring that systems and procedures are in place to support strong, effective program implementation and flawless audits.
This position requires an analytical and strategic thinker with excellent communication skills, who collaborates with SCORE team members, external consultants, auditors, bank contacts, and funders. The Director of Finance also serves as a strategic thought partner to the leadership team on topics such as multiyear financial planning, KPI development and monitoring, and other decision-support needs across the organization. The Director of Finance reports to the Vice President of Finance and Operations.
Job Responsibilities
Financial Oversight:
• Own the annual budget development process in collaboration with the Vice President of Finance and Operations, leadership team, and finance manager.
• Manage the annual budget process from development through adoption once approved by the Board Finance Committee and Board of Directors, including revenue analysis, grant and contract budgeting, and gathering input from across the organization.
• Finalize monthly financial statements and present the analysis of financial statement line items with variance analysis and recommendations to the Vice President of Finance and Operations.
• Prepare quarterly financial statements for review by the Board Finance Committee and Board of Directors, including analysis of current versus prior period information and forecasting.
• Provide day-to-day oversight of third-party accounting support and selected finance and operations processes, including coordination with team members who contribute to those workflows.
• Provide regular high-quality financial analysis, scenario planning, and recommendations to support strategic decision-making.
• Partner with the Vice President of Finance and Operations and leadership team on multiyear financial planning, KPI development and monitoring, and translating financial data into actionable insights for organizational and board decision-making.
• Update and implement accounting and financial policies and procedures such as proper cash management, disbursements, and expense reimbursement policies.
• Recognize and anticipate opportunities and challenges as they relate to financial systems, operations, and investments.
Accounting & Audit:
• Manage the recording and reporting of grant and contribution revenues; accounts receivable and other assets; accounts payable as well as other liabilities; investment accounts; payroll; and operating and capital expenses in the general ledger.
• Oversee the annual audit process working with external auditors and the Board Audit Committee; prepare all fieldwork and supporting documentation.
• Work closely with external auditors to coordinate and prepare the annual 990 form to be filed with the IRS, including adoption of updated compliance procedures and standards.
• Proactively monitor, evaluate, implement, and document accounting policies and procedures to identify changes that would increase internal controls, efficiency, and the accuracy of financial records.
• Review and update SCORE’s accounting codes to ensure they are efficient for tracking expenses toward the organization’s operating budget and grant budgets.
• Oversee the general ledger in QuickBooks Online (including addition of new accounts, projects, and classes); change/inactivation of certain accounts; reorganization of chart structure when appropriate; and revision/addition of annual budgets.
• Manage journal entries related to all accounts and elevate implications and potential impact to reporting with the Vice President of Finance and Operations, as needed.
• Oversee monthly and year-end closing procedures.
• Perform general ledger account reconciliations and in-depth reviews monthly, quarterly, and annually.
Contracts Management & Grant Support:
• Own the operational aspects of contracts, including updating trackers, monitoring spending by source, and raising questions related to proper allocation through partnership with the finance manager and program team members.
• Review and approve financial reports for grant reporting purposes.
• Review subgrantee financials to assist with the evaluation of funding requests as needed.
• Work in collaboration with other team members to efficiently maintain compliance with all grant and subgrant requirements while proactively preparing for organizational budget needs.
Banking, Cash Management & Vendors:
• Manage SCORE bank, credit card, and investment accounts and ensure the cash balances of each are sufficient to cover operational needs while pursuing the best return on available cash.
• Manage investment activity and review investment reports for compliance with SCORE’s Reserve and Investment Policy and to identify opportunities for improvement.
• Serve as the primary point of contact regarding contracts, finance, billing, and compliance.
• Manage key external finance relationships, including third-party accounting support, external auditors, banking partners, and support centers at QuickBooks, Bill.com, and card services, to ensure effective problem-solving, service continuity, and strong execution.
Compliance:
• Review weekly payment disbursements for proper documentation as well as appropriate new vendor documents such as tax forms for compliance with IRS regulations.
• Own compliance reporting and updates such as the Tennessee State Annual Report, charitable registrations, public support test, and lobbyist registration and expenditure reporting.
• Review W-9 and file 1099 NEC forms through 1099 Tax and QBO.
Process Improvements & Research:
• Review, refine, and develop financial and operational systems and standard operating procedures that support SCORE’s mission and organizational structure, with a focus on streamlining workflows, strengthening internal controls, and driving efficiencies across the organization.
• Continuously improve systems and processes, including identifying and implementing opportunities to leverage AI tools, automation, and other technologies to increase efficiency, reduce manual work, and improve accuracy and reliability.
Qualifications
Education & Experience:
• A bachelor’s degree in a related field and commensurate experience that demonstrates financial acumen; CPA preferred
• Strong knowledge of GAAP and all applicable state and federal laws; prior experience undergoing financial audits
• At least five to seven years of experience in finance or accounting with progressive responsibilities; nonprofit experience strongly preferred
• Experience managing, mentoring, or coordinating the work of others, including employees, contractors, or external partners, with the ability to set clear expectations, provide feedback, and ensure high-quality execution
• Strong relationship-building and communication skills; ability to engage with stakeholders at all levels, including senior executives; ability to communicate complex financial information in a clear and concise manner
• Experience coordinating audit activities and managing reporting, budget development and analysis, accounts payable and receivable, general ledger, payroll, and accounting for investments
• Exceptional analytical and problem-solving skills and strong financial modeling skills
• Exceptional integrity, discretion, and professional maturity
• Advanced proficiency in Microsoft Excel, QuickBooks, and other financial software and tools
• Baseline proficiency using AI tools to drive process improvement and personal productivity, or a willingness to upskill quickly in this area
