US Roadshow Inc. is a fast-growing company that operates buying events across multiple markets, working directly with customers in a face-to-face environment. We are looking for a highly organized, dependable Office Assistant to help keep daily operations running smoothly and support the team behind the scenes.

Position Summary

The Office Assistant will play a key role in supporting our Operations Managers and coordinating travel logistics for our buyers and new hires. This person will be responsible for booking hotels, Airbnbs, flights, and other travel arrangements, while also helping keep the office organized and running smoothly.

This role is ideal for someone who is professional, proactive, detail-oriented, trustworthy, and comfortable managing multiple moving parts in a fast-paced environment. The right person will be highly organized, responsive, and able to make sure our buyers have everything they need for each event and training trip.

Key Responsibilities

  • Book hotels, Airbnbs, flights, and other travel arrangements for buyers, trainees, and new hires
  • Coordinate and organize travel schedules, confirmations, and logistics for events and training
  • Assist Operations Managers with daily office and administrative needs
  • Help make sure buyers have all materials, supplies, and information needed for each show
  • Handle shipping and receiving of items coming from and going to buyers
  • Take packages, mail, and other items to the post office or shipping locations as needed
  • Manage daily office operations and administrative workflow
  • Maintain organized records, files, contracts, and internal documents
  • Coordinate calendars, meetings, and scheduling needs
  • Track office supplies and operational materials and reorder as needed
  • Help leadership stay organized with follow-up, deadlines, and task management
  • Assist with spreadsheets, reporting, and general business support
  • Handle confidential information with professionalism and discretion

Qualifications

  • Prior experience in office management, administrative support, travel coordination, operations support, or similar role
  • Strong organizational and time management skills
  • Experience booking travel and coordinating logistics
  • Excellent communication and follow-up skills
  • Ability to multitask and work independently
  • Professional, dependable, and detail-oriented
  • Strong problem-solving ability
  • Comfortable working in a fast-paced, growing business
  • Proficient in Microsoft Office, Google Workspace, email, and spreadsheets

Preferred Qualifications

  • Experience supporting a rapidly growing or travel-based business
  • Experience coordinating travel for employees, field teams, or events
  • Experience with shipping, receiving, and supply coordination
  • Experience with employee documentation or onboarding logistics
  • Ability to create structure and improve internal processes
