Elections Specialist - Temporary

Job Summary The primary purpose of this position is to support the program and operational activities of the IEEE Annual Election and its related projects, programs, and committees to ensure timely, accurate, and effective elections. Reporting to the Senior Program Manager of Elections, the role collaborates with staff colleagues, volunteers, candidates, and vendors. The individual plans, implements, tests, monitors, and optimizes campaign messaging and the election ballot package, contributing to the ongoing evolution of campaigning and elections. The role also serves as primary staff support for the Tellers Committee, assists the Election Oversight Committee, and provides operational support for other governance‑related activities as assigned. The person has authority to approve purchases, contracts, and expenditures up to $5,000. Key Responsibilities Facilitates daily management and support of IEEE Annual Election program operations and related timelines as specified in IEEE governing documents. Partners with IEEE Information Technology on data files, site administration, project requests, and related testing. Develops and implements annual campaign messaging program, involving candidates and IT for formatting, proofreading, scheduling, testing, and evaluation. Collects candidate bios, formats, proofs, and secures final representation; creates and implements ballot package; works with vendor for testing, production, and results. Leads activities related to website content updates for IEEE and vendor sites. Serves as staff secretary to the Tellers Committee, facilitating committee responsibilities overseeing the annual election and petition process, determining ballot package characteristics, implementing campaign messaging, tallying results, advising senior volunteers and staff, and supporting the Election Oversight Committee’s activities. Reviews stakeholder feedback to identify and execute continuous cost and performance improvement in support of IEEE strategies. Analyzes and manages voter support requests and works closely with IEEE Contact Center to resolve member support tickets. Processes expense reports for IEEE Committees. Qualifications Education Bachelor’s degree or equivalent experience such as Communications or Business Administration; or equivalent relevant experience. Work Experience 2–4 years operations and program management. Member or customer experience support preferred. Skills and Requirements Effective and efficient work with volunteers, committees, or customers for high‑impact results. Ability to work in a fast‑paced cross‑functional team environment. Excellent verbal and written communication skills. Maintains the highest degree of professionalism when dealing with sensitive and confidential matters. Excellent organizational skills, ability to manage several projects simultaneously, and work under tight deadlines. Positive, proactive work attitude and ability to excel in a fast‑moving environment with changing priorities. Technologically savvy, seeks new solutions to business challenges. Proficiency in Microsoft Office, Google Apps; knowledge of SmartSheet, Tableau, and BoardEffect a plus. Able to travel internationally and domestically (approximately 2–3 times per year for about 3 days each). Understanding of financial activities to assist in budget and financial forecasts. As corporate governance staff, valued participant identifying and facilitating innovation and improvements; collaborates with senior management and volunteers.
