Position Overview

The Office Administrator serves as a foundational member of the new manufacturing facility, responsible for the initial physical setup and subsequent long-term operational management. This position acts as the primary architect of office and site infrastructure, ensuring the facility transitions from a construction or empty shell phase into a fully functional, high-efficiency working environment for both administrative and production staff.

Key Responsibilities and Accountabilities

  • Pre-Launch Setup: Manage the end-to-end setup of office spaces, breakrooms, and conference areas prior to the plant launch.
  • Vendor & Contract Negotiation: Identify, evaluate, and negotiate contracts with service providers for security, cleaning, landscaping, and waste disposal.
  • Furniture & Asset Procurement: Lead the selection and purchasing of all non-production furniture, ensuring ergonomic standards and budget compliance.
  • Facility Walkthroughs: Conduct regular walkthroughs to identify maintenance needs and ensure the facility meets professional standards.
  • Cleaning Crew Supervision: Supervise cleaning crews to maintain high standards of hygiene and organization across all office and common areas.
  • Office Space & Seating Layouts: Manage office layouts and seating assignments to accommodate headcount growth and departmental restructuring.
  • Asset Registry Management: Maintain a detailed and accurate registry of all non-manufacturing assets, including electronics, furniture, and appliances.
  • Supply & Pantry Inventory: Manage inventory and procurement for office supplies, pantry stock, and stationery to prevent shortages.
  • Mail & Courier Logistics: Oversee incoming and outgoing mail, courier services, and the distribution of internal documents.
  • Safety & Emergency Preparedness: Assist in developing evacuation plans, coordinating fire drills, and maintaining first aid and fire safety equipment.
  • Sustainability Initiatives: Implement and manage site-wide recycling programs and sustainable waste management initiatives.
  • Budgeting & Expenditures: Assist in drafting the annual office budget and monitor monthly expenditures to ensure fiscal targets are met.
  • Corporate Hospitality & Logistics: Manage end-to-end hospitality and logistics for visiting corporate employees and customers, including the coordination of local transportation, hotel accommodations, catering, and the preparation of dedicated meeting or touchdown spaces to ensure a professional experience.

Qualifications

  • Education: Bachelor’s degree in Business Administration, Hospitality Management, Facility Management, or a related field.
  • Core Experience: Minimum of 3–5 years of experience in office management or facility operations, specifically within a manufacturing or industrial environment.
  • Site-Launch Track Record: Proven track record of participating in the setup, launch, or expansion of a new corporate office or production site.
  • Vendor Management: Demonstrated experience in sourcing, vetting, and managing third-party service contracts and industrial vendors.
  • Financial Administration: Competency in managing administrative budgets, processing invoices, and performing cost-benefit analyses for service contracts.
  • Communication Skills: Excellent verbal and written communication skills for interacting with government agencies, vendors, and corporate leadership.
  • Internal Customer Focus: A strong commitment to providing a high-quality working environment for internal "customers" (employees).
  • Timeline Management: Ability to manage multiple timelines simultaneously, particularly during the critical facility setup phase.
  • Adaptability & Flexibility: The flexibility to work in a fast-paced, evolving environment where priorities change as the plant scales.
  • Cross-Cultural Competency: Experience working within diverse or international corporate structures, with an understanding of various professional working styles.
  • OSHA Knowledge: Prior experience or formal training in managing Occupational Safety and Health Administration (OSHA) workplace requirements and documentation.
  • Schedule Flexibility: Willingness to work occasional evenings or weekends during the critical launch phase or to oversee facility emergencies and high-priority visitor arrivals.
  • ERP Systems: Knowledge of SAP or similar Enterprise Resource Planning systems for requisitioning, asset management, and expense tracking is highly preferred.
  • Language Skills: Bilingual in Spanish is a plus.
