Order Management Specialist I

This position works in a high performing, customer-oriented team environment to support made-to-order manufactured equipment for a national network of direct sales offices. He or she builds strong business relationships with the sales office as well as quality, cost and delivery (QCD) operations personnel to provide end-to-end management of incoming orders. Location: Hybrid – Plymouth, MN (Typically 1 day in office, 4 days from home per week). Responsibilities Ensure timely processing of orders. Support standard order processing procedures while working with customized made-to-order equipment as well as a subset of products. Specialized equipment processing, including interaction with drafting, engineering and third‑party modifiers. Process change orders by following the change order process and guidelines. Communicate effectively and professionally with internal and external customers. Field incoming calls to mitigate delays within production, shipping and delivery of products; address short shipments, damages and product defects. Assure effective and efficient handling of calls and timely processing of orders. Act as the primary customer contact regarding pricing, shipping and negotiation of order scheduling as well as coordinating specialized delivery requirements. Manage the freight claims process. Handle various special projects as assigned. Qualifications Minimum Requirements: High School Diploma or GED. 1‑2 years of customer service experience. Superior customer service focus. Basic computer knowledge; proficiency in Outlook, Word and Excel. Preferred Qualifications: Knowledge of applied HVAC equipment. Experience with Oracle, Salesforce, Ops, Vision Explorer, AHU Database, FPA Database, Agile.
