Executive Assistant to Chair, Department of Psychiatry (100% onsite)

The Department of Psychiatry is seeking a full‑time Executive Assistant to the Chair. The role involves providing complex daily administrative support, managing calendars and travel, coordinating meetings, handling correspondence, preparing reports, and overseeing special projects. Job Responsibilities Provide complex daily administrative support to the Chair, ensuring efficient completion of tasks and continuous improvement of administrative workflows. Manage the Chair’s calendar, scheduling meetings, patient appointments, travel, conferences, seminars, and lectures. Supervise, coordinate and set up large and complex meetings, conferences, and programs. Arrange complex scheduling for multiple parties and conferences with minimal direction. Organize interview schedules, travel logistics, and itineraries for prospective faculty recruits. Process reimbursement of related expenses and verify purchasing card transactions. Coordinate, prepare agendas, and take minutes for monthly Executive Advisory Committee meetings. Serve as backup to the Administrative Coordinator to the Vice Chair for Research and Vice Chair for Faculty Development and Mentoring. Represent and discreetly advise others on behalf of the Chair; read and answer correspondence; identify information for dissemination. Answer phones, provide information, process messages, and greet guests at the Chair’s office. Prepare and proofread correspondence such as letters, memos, reports, emails, and announcements. Research, compile, and analyze information for reports and presentations; prepare documents for meetings and town halls. Track, review, and return documents requiring Chair approval/signature; manage signatory approvals for offer letters, contract renewals, and change of responsibilities letters. Maintain filing system and documentation records for the Chair’s office. Evaluate information and data to prioritize decision making and propose optimal solutions. Resolve non‑routine situations per established policies and refer unresolved issues to appropriate parties. Perform other duties and special projects as assigned. Minimum Qualifications Bachelor’s degree in a related field. Minimum 5 years of progressive administrative experience or an equivalent combination of education and experience. Effective oral and written communication skills, with strong grammar, spelling, punctuation, tact, diplomacy, and interpersonal skills. Time‑management skills and ability to work well under pressure while maintaining a professional and positive attitude. Proficiency in Microsoft Office (Word, Excel, Access, PowerPoint, Outlook) and familiarity with internet applications. Strong organizational skills; ability to handle multiple projects simultaneously, prioritize effectively, and pay attention to detail. Ability to multitask and project‑manage. Active listening, judgment, and decision‑making skills. Ability to interact effectively with all levels of management and communicate with internal and external customers. Team‑player mentality and willingness to back up others. Knowledge of modern office standard practices and procedures. Preferred Qualifications Prior experience supporting an executive in a healthcare or academic setting.
