Account CoordinatorThe Account Coordinator supports day-to-day facilities operations by reviewing, processing, and managing work orders across internal and client-facing work order systems. This role ensures accuracy, timely follow-up, and clear communication with internal teams, subcontractors, vendors, and clients.This position is critical to maintaining service excellence through strong attention to detail, proactive tracking of work progress, and accurate reporting of operational activity.What You'll Do:Review incoming work orders in internal and client systems for accuracy, completeness, and required scope detailsEnter, update, and maintain work orders in accordance with company standards and proceduresMonitor client work order portals for new requests, updates, comments, and required actionsPrioritize and assign work orders based on urgency, SLAs, and client expectationsTrack work orders through the full lifecycle from creation to completion across all systemsEnsure all required documentation (photos, notes, completion details, approvals) is properly captured and uploadedCommunicate with field teams, subcontractors, and vendors regarding scheduling, status updates, and job clarificationProactively follow up on outstanding, aging, or overdue work orders to ensure timely resolutionGenerate daily, weekly, and monthly operational reports on work order performance and SLA complianceMaintain dashboards, logs, and reporting tools to ensure operational visibility and accuracyProvide status updates, performance insights, and operational summaries to Account Managers and leadershipSupport client communication efforts as needed, including service updates and status reportingAssist with special projects, urgent service requests, and operational escalationsMaintain accurate and organized records of all work order activity and account documentationOther duties as assigned or requestedWhat We're Looking For:1–3 years of experience in facilities services, operations coordination, dispatch, or administrative supportExperience working with work order management systems or client service platforms preferredStrong attention to detail with a high level of accuracy in data entry and documentationExcellent communication skills with a strong follow-up and accountability mindsetAbility to manage multiple priorities in a fast-paced, deadline-driven environmentProficiency in Microsoft Office Suite (Excel, Outlook, Teams)Strong customer service orientation with the ability to collaborate across teams and stakeholdersPreferred Experience:Background in facilities services, janitorial, maintenance, or vendor-managed environmentsExperience with SLA tracking, subcontractor coordination, or service delivery operationsExposure to reporting, analytics, or operational performance dashboardsUnderstanding of the full work order lifecycle in a service-based environmentPhysical Requirements:Applicants for this role must be able to:Lift boxes and packages weighing up to 60 poundsLift, bend, squat, and stretch to move boxes, parcels, and shipmentsClimb small to medium flights of stairs multiple times a dayStanding for extended periods of timeWorking conditions may consist of extreme exposure to heat/cold weather conditions, involving both indoor and outdoor tasksOccasional exposure to hazardous environments and conditions might be experiencedBenefits:Velociti Services offers a comprehensive benefits package designed to support the health, financial security, and well-being of our team members:Basic Life Insurance and Accidental Death & Dismemberment (AD&D)Short-Term Disability InsuranceMedical and Dental InsuranceAdditional Life and AD&D InsuranceSupplemental Short-Term Disability InsuranceLong-Term Disability InsuranceHospital Indemnity, Accident, and Critical Illness Insurance401(k) Retirement Plan available for all team membersVelociti provides equal employment opportunities to all employees and applicants for employment and prohibits discrimination and harassment of any type without regard to race, color, religion, age, sex, national origin, disability status, genetics, protected veteran status, sexual orientation, gender identity or expression, or any other characteristic protected by federal, state or local laws.
