Qualifications

• 1+ year of experience in accounts receivable, bookkeeping, accounting support, or data entry
• Experience with QuickBooks Online, Zoho Inventory, Shopify, Faire, MarketTime, Printavo, or similar platforms
• Experience supporting restaurants, taprooms, breweries, distilleries, retail, e-commerce, manufacturing, or service-based businesses
• Proficiency with PDF software, including editing, combining, organizing, and extracting documents
• Experience managing digital documentation and electronic files
• Experience working remotely

Responsibilities

• Order Processing
  • Pull orders from multiple sales platforms and client systems.
  • Review order details for completeness and accuracy.
  • Verify customer information, pricing, shipping details, and tax treatment.
  • Enter sales orders into inventory and accounting systems.
  • Convert approved orders into invoices.
  • Monitor invoice status and payment activity.
  • Maintain accurate supporting documentation.
• Accounts Receivable Operations
  • Apply customer payments to the appropriate invoices.
  • Investigate unapplied payments and resolve discrepancies.
  • Maintain accurate customer account balances.
  • Process credits, overpayments, and payment adjustments according to established procedures.
  • Assist with customer account cleanup and reconciliations.
• Deposit Support & Documentation
  • Compile daily deposit documentation.
  • Match customer payments to invoices and deposits.
  • Maintain organized electronic records and supporting documentation.
  • Ensure deposits are properly documented and audit-ready.
  • Edit, combine, organize, and maintain PDF documentation.
• Data Accuracy & Quality Control
  • Verify that transactions sync correctly between systems.
  • Identify missing transactions, duplicate entries, and processing errors.
  • Follow SOPs to resolve issues and escalate exceptions as needed.
  • Perform quality control reviews to ensure data accuracy.
  • Maintain clean and organized digital files.
• Process Improvement & Automation Support
  • Follow checklist-driven workflows consistently.
  • Identify opportunities to improve efficiency and reduce manual effort.
  • Assist in testing and implementing new technologies, automation, and process improvements.
  • Adapt to evolving workflows and increasing automation.
