Inside Sales / Project Coordinator

The Inside Sales / Project Coordinator will support Lashley South Texas’s Austin sales operation by assisting the outside sales team with estimating, pricing, quotations, submittals, releases, order coordination, project tracking, and customer follow-up. This person will also serve as a key in-office sales resource for the Austin warehouse, helping walk-in customers, supporting counter sales, promoting stocked products, and driving growth in spiral duct, fittings, and related warehouse sales. In addition, this role will help Lashley improve the way it identifies, evaluates, and pursues bid opportunities. The Inside Sales / Project Coordinator will help review incoming project opportunities, assist in determining which jobs are worth bidding, coordinate with Lashley’s third-party outsourced estimating team, and perform quality control on estimates and bid packages before they are sent to customers. This is a hands-on, in-person role for someone who is organized, customer-focused, and eager to learn the HVAC, sheet metal, and mechanical construction industry. Key Responsibilities Outside Sales and Project Support Assist our Austin-based outside sales team with estimating, pricing, quotations, submittals, releases, order entry, project tracking, and customer follow-up. Review plans, specifications, schedules, bid invitations, and customer requests to help prepare accurate and timely quotes. Coordinate with manufacturers and vendors regarding product selection, pricing, lead times, availability, order status, and technical questions. Prepare and maintain project files, quote logs, submittal packages, order documentation, releases, and related records. Track projects from quote stage through order entry, release, shipment, and closeout. Follow up with customers, factories, outsourced estimators, and internal team members to keep projects moving. Assist with resolving product, delivery, pricing, documentation, or scope-related issues. Bid Review, Project Vetting, and Estimating Coordination Help review incoming bid opportunities and determine which projects are a good fit for Lashley to pursue. Assist the outside sales team in evaluating bid opportunities based on customer relationship, project size, product fit, timing, likelihood of success, available resources, and strategic value. Help prioritize bid opportunities so the team focuses time and estimating resources on projects with the best chance of success. Coordinate with Lashley’s third-party outsourced estimating team by providing plans, specifications, addenda, product direction, deadlines, and other required information. Review estimates and take-offs received from outsourced estimators for completeness, accuracy, scope alignment, and obvious errors before quotes are finalized. Compare estimating output against bid documents, customer requirements, and Lashley’s product lines to help ensure the bid is responsive and complete. Identify missing information, unclear scope items, specification conflicts, or other issues that need to be clarified before bid submission. Maintain organized records of bid invitations, estimates, submitted quotes, follow-ups, and bid outcomes. Help create a more disciplined bid process by tracking what Lashley bids, what it wins, what it loses, and why. Warehouse and Counter Sales Serve as a consistent in-office point of contact for walk-in customers, phone inquiries, and counter sales. Help customers identify what they need, including spiral duct, fittings, air distribution products, accessories, and related HVAC/sheet metal products. Promote sales of stocked warehouse items, with particular emphasis on growing spiral duct and related product sales. Work with the warehouse team to understand available inventory, commonly requested items, product movement, and customer needs. Engage with the broader Lashley sales team to identify opportunities to drive more business through the Austin warehouse. Help develop stronger relationships with contractors and customers who regularly buy from or visit the Austin warehouse. General Sales and Customer Service Provide timely, professional, and solutions-oriented service to contractors, vendors, manufacturers, outsourced estimators, and internal team members. Develop product knowledge across Lashley’s represented lines, especially products commonly quoted or sold through the Austin office and warehouse. Communicate clearly with customers regarding pricing, availability, lead times, order status, scope questions, and next steps. Build strong working relationships with outside sales, estimating resources, warehouse personnel, vendors, and customers. Identify opportunities to improve responsiveness, quote accuracy, sales follow-up, warehouse sales, and overall customer service. Perform other related duties as needed in a small-business environment. Qualifications Experience in HVAC, sheet metal, mechanical contracting, construction, distribution, manufacturing, or a related field preferred. Inside sales, counter sales, estimating, project coordination, customer service, or construction administration experience strongly preferred. Familiarity with commercial HVAC products, spiral duct, fittings, air distribution, mechanical plans, or construction documents is a plus. Ability to read plans, specifications, schedules, and bid documents, or willingness to learn. Strong organizational skills and ability to manage multiple quotes, deadlines, bid opportunities, orders, and customer requests at the same time. Good judgment and commercial awareness, including the ability to help evaluate which projects are worth pursuing. Detail-oriented, with the ability to review estimates, quotes, submittals, and project documents for accuracy and completeness. Clear written and verbal communication skills. Strong customer service mindset and a positive, practical, “can-do” attitude. Comfortable working with outside salespeople, warehouse personnel, vendors, customers, and third-party estimating resources. Proficiency with Microsoft Office, Outlook, Excel, and general computer systems. Experience with manufacturer software, quoting tools, CRM systems, ERP/order-entry systems, or Bluebeam is a plus. Dependable, punctual, and comfortable working full-time in person at the Austin office/warehouse. Ideal Candidate The ideal candidate is someone who enjoys being at the center of a busy sales operation. This person can help an outside salesperson pull together a quote, coordinate with an outsourced estimator, review a take-off for obvious issues, help a walk-in customer figure out what product they need, and follow up with a contractor or manufacturer to keep a project moving. The right person does not need to know everything on day one. But they should be organized, curious, reliable, detail-oriented, and willing to learn the products, customers, and construction process. Over time, this person should become a trusted internal resource who helps the Austin team bid smarter, respond faster, sell more through the warehouse, and deliver better service to customers. Compensation and Bonus Opportunity Lashley South Texas offers very competitive compensation for this role, based on experience, product knowledge, estimating ability, customer service skills, and ability to contribute quickly to the Austin operation. In addition to base compensation, this role is eligible for a performance-based bonus opportunity. The bonus plan is intended to reward meaningful contributions to sales growth, quote activity, bid quality, warehouse sales, customer service, and overall team performance.
