We are looking for an Administrative Assistant to work ONSITE in our Miami office to support daily operations, client activity, and keep up our client database. This role is suited for an individual with experience in accounting systems, reporting, and transaction oversight who can help maintain accuracy across workflows. The position will work with clients via phone and email daily and report to the Director of Operations

Responsibilities:

• Exceptional organization skills and attention to detail is most important

• Ability to handle multiple tasks or projects simultaneously and prioritize work

• Driven and goal oriented, takes initiative to solve problems

• Flexible

• Exceptional time management skills - sense of urgency when completing tasks

• Strong communication skills-fluent English (written and verbal) a must

• Bi-Lingual (Spanish) is a big plus

• Ability to speak professionally and address client questions when answering the phone

• Ability to collaborate in a team environment and work well alone

• Ability to exercise independent judgement and employ basic reasoning skills

• High degree of accuracy in data entry and word processing

• Proficiency in Microsoft Excel, Word, Outlook and Adobe

• Not required, but working knowledge of Excel macros/programming a plus

• Not required, but experience in the real estate industry a plus

Client Communications

Answer phone and perform research to address client questions Respond to general inquiry emails

Client/Property Management Maintain all client and property information using Excel, Adobe and Outlook Create client/property contracts and reports using Excel, Adobe and Outlook VAB Hearing Management Answer Value Adjustment Board (VAB) calls and ensure smooth execution of hearings Receive hearing notices/results and update Excel spreadsheets and Outlook Calendar Social Media/Digital Community Marketing Perform tasks related to social media community engagement Office Logistics Management Monitor and maintain office supplies Office Personnel Support Support Director of Operations and provide assistance to office personnel Special Projects Participate on special projects as needed
