Job Description:\n\n TITLE: Vice President of Grants PERFORMANCE PROFILE SOURCE: Management Professional DEPARTMENT: Grants REPORTS TO: Chief Financial Officer (CFO) FLSA Status: Exempt WORKER CATEGORY: Full-Time EMPLOYMENT FUNCTION: Management POSITION SUMMARY: The Vice President of Grants is a senior leader responsible for designing and executing a comprehensive grants strategy that strengthens Boys & Girls Clubs of Central Florida’s funding base and ensures excellence across the full lifecycle of government, foundation, and corporate grants. Reporting to the Chief Financial Officer, this role oversees the Grants Coordinator, Grants Manager, Grant Project Director, and Grant Compliance Manager, aligning grant development, implementation, and compliance with BGCCF’s financial systems, organizational priorities, and youth development mission. The Vice President of Grants serves as the central facilitator for BGCCF’s grants portfolio, leading opportunity identification and proposal development, managing relationships with funders, and ensuring that all grant-funded programs are implemented with financial integrity, operational excellence, and measurable impact. This leader partners closely with Finance, Advancement, Program/Club Operations, Human Resources, and Executive Leadership to build efficient, technology-enabled processes that support sustainable growth, rigorous compliance, and strong return on investment for restricted and unrestricted funding. KEY RESPONSIBILITIES: Strategic Leadership & Department Oversight: Lead the development and implementation of a multi-year grants strategy that aligns with BGCCF’s strategic plan, revenue goals, and program priorities.Serve as a member of the senior leadership team, providing strategic thought partnership to the CFO and Executive Leadership regarding grants, contracts, and restricted funding.Oversee, coach, and develop a high-performing grants team, including the Grants Manager, Grant Coordinator, Grant Project Director, and Grant Compliance Manager, fostering a culture of collaboration, accountability, and continuous improvement.Develop and manage the annual Grants Department budget, including revenue forecasts and expense projections, ensuring alignment with organizational financial plans and strong return on investment.Establish clear department goals, performance indicators, and service standards for grant development, implementation, and compliance functions. Grant Development, Pipeline & Proposal Management Lead the scouting, pre-qualification, and evaluation of public and private funding opportunities (federal, state, local, foundation, corporate, and institutional) that align with BGCCF’s mission and strategic priorities.Develop, grow and maintain a comprehensive grants pipeline and master calendar, tracking prospects, proposals, awards, reporting deadlines, and renewal opportunities.Oversee the development, writing, review, and timely submission of high-quality grant proposals, letters of inquiry, concept papers, and supporting materials in collaboration with Program/Club Operations, Finance, HR, and Development.Ensure proposals include clear project narratives, outcomes, work plans, evaluation plans, and detailed budgets that reflect both funder requirements and internal financial standards.Monitor funding trends, legislative developments, and emerging opportunities relevant to youth development, education, workforce development, and related program areas, providing strategic recommendations to leadership on funding priorities and proposal investments.Leverage technology tools (e.g., funding databases, AI-enabled research tools) to improve the efficiency and effectiveness of funding research and proposal development. Grants and Contracts Management & Compliance Serve as the organizational lead for pre- and post-award grants management, ensuring standardized procedures from opportunity identification through award closeout.Oversee grant and contract set-up in BGCCF’s financial and grants management systems, including project structure, budget entry, spending authorities, and documentation requirements.Partner with the Finance team to ensure grant activity is accurately reflected in the general ledger, financial statements, and annual operating budget, including revenue recognition and reforecasting.Ensure full compliance with federal, state, local, and private funder regulations, including adherence to OMB Uniform Guidance, applicable audit requirements, and BGCCF policies and internal controls.Oversee the timely preparation and submission of all required financial and programmatic grant reports, ensuring accuracy, completeness, and alignment with funder expectations.Monitor grant spending and financial performance, analyzing variances, resolving discrepancies, and working with program and finance staff to adjust plans or reallocate resources as needed.Maintain readiness for funder site visits, fiscal reviews, and audits by overseeing documentation, testing internal processes, and implementing corrective action plans when necessary.Ensure grant and contract records, templates, and tracking tools are consistently maintained, accessible, and auditable across the organization. Grant Implementation & Program Impact Partner with Program/Club Operations staff to ensure that grant-funded programs are implemented with fidelity to funder requirements and aligned with BGCCF’s program models.Provide strategic oversight of grant implementation plans, timelines, and deliverables, ensuring that milestones, outputs, and outcomes are clearly defined and achievable.Use data dashboards, outcome reports, and qualitative impact stories to demonstrate the effectiveness of grant-funded programs and inform continuous improvement.Support program staff in interpreting grant requirements, translating complex guidelines into clear expectations, and resolving operational challenges related to implementation. Relationship Management & Organizational Collaboration Build and maintain productive relationships with public and private funders, government agencies, foundations, corporate partners, and community stakeholders, positioning BGCCF as a trusted, high-performing grantee.Collaborate closely with the Advancement/Resource Development team to ensure alignment between grants, corporate partnerships, and individual giving strategies, including stewardship, acknowledgment, and recognition activities.Represent BGCCF at funder meetings, briefings, conferences, and community events related to grants and philanthropic investments.Work collaboratively with internal departments, including Finance, HR, Operations, Advancement, and IT, to develop systems that support reporting, compliance, and performance measurement for grant-funded programs.Prepare and present grant portfolio reports and analyses for the CFO, CEO, Executive Leadership Team, and Board committees, highlighting pipeline, awards, risks, and impact. Department and Talent Management Recruit, supervise, coach, and evaluate grants department staff, consultants, and contractors, establishing performance expectations, priorities, and professional development plans.Foster a collaborative, solutions-oriented work environment that emphasizes quality, accountability, and continuous learning.Ensure cross-training within the grants team so that critical functions are covered, and continuity is maintained during transitions or absences.Develop and document best-in-class grants policies, procedures, templates, and workflows that promote consistency, efficiency, and compliance across the organization.Assist the Chief Financial Officer and Executive Leadership with special projects and strategic initiatives related to grants, contracts, and organizational growth.Maintain and update job knowledge by participating in training and educational opportunities, reading professional publications, and engaging in relevant professional organizations.Protect the organization’s value and manage risk by maintaining high ethical standards, safeguarding confidential information, and ensuring adherence to BGCCF policies.Perform other duties as assigned that are consistent with the role and aligned with BGCCF’s mission and values. QUALIFICATION REQUIREMENTS Education Bachelor’s degree in Nonprofit Management, Public Administration, Business Administration, Accounting/Finance, Communications, or a related field required; or a combination of education and relevant experience. Experience Minimum of 7–10 years of progressively responsible experience in grants management, grant development, or related fundraising/contract administration roles, including success securing, growing and managing significant government and private grants.At least 5 years of leadership experience overseeing grant or contract development teams, including supervision of professional staff and cross-functional project leadership.Demonstrated experience managing complex grant portfolios that include federal, state, and local government funding, foundations, and corporate funders.Experience working in nonprofit, education, youth development, human services, or closely related sectors preferred. Knowledge, Skills, and Abilities Advanced grant writing and proposal development skills, with the ability to produce clear, compelling, and competitive applications.Strong knowledge of public funding structures, government grant processes, foundation funding, and competitive procurement requirements.Solid understanding of grant budgeting, nonprofit fund accounting, and financial compliance requirements; familiarity with GAAP and relevant federal regulations preferred.Exceptional project management skills, including the ability to manage multiple deadlines, coordinate complex proposals, and drive cross-functional work in a fast-paced environment.Strong analytical skills, including the ability to interpret financial reports, performance data, and evaluation results to inform decisions and improve outcomes.Excellent written, verbal, and interpersonal communication skills, with the ability to tailor messages to diverse audiences, including funders, board members, executives, and program staff.Demonstrated leadership, coaching, and team development abilities, including experience fostering inclusive, high-performing team cultures.Ability to build and sustain collaborative relationships with internal and external partners, demonstrating diplomacy, tact, and a solutions-oriented mindset.High level of integrity, ethical judgment, and discretion in handling confidential and sensitive information.Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and familiarity with grants management systems, CRM databases (Salesforce), and other relevant technology tools. Leads Self and Teams with Accountability Sets clear goals, performance metrics, and service standards for the Grants Coordinator, Grants Manager, Grant Project Director, and Grant Compliance Manager, and holds self and others accountable for proposal quality, on-time submissions, compliant implementation, and financial accuracy.Provides regular coaching, feedback, and recognition that support professional growth, build cross-training and bench strength, and sustain a high-performing, mission-driven grants and compliance team culture. Operational, Financial, and Analytical Excellence Uses data, financial reports, grants dashboards, and pipeline analytics to inform decisions, refine strategies, and continuously improve the efficiency and effectiveness of pre-award development, post-award management, and grant-funded program implementation.Builds and continuously improves systems, processes, and cross-functional workflows across Grants, Finance, Programs, and HR that strengthen budgeting, reporting, compliance, and audit readiness for all restricted funding streams. Ethical Practice, Compliance, and Risk Management Instills trust by modeling integrity, transparency, and sound judgment in all grant-related decisions, ensuring adherence to funder requirements, applicable regulations, and BGCCF policies.Proactively identifies financial, operational, and compliance risks within the grants portfolio, implements appropriate controls and corrective actions, and fosters a culture where ethical practices, documentation, and accountability are non-negotiable. ADDITIONAL ACCOUNTABILITIES Supervisory Responsibilities Supervise, hire, train, manage, and mentor staff. Relationships Internal: Maintains close, daily contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain guidelines/ instructions; instruct; and advise/counsel. External: Maintains contact with members, families, alumni, community leaders, youth-serving professionals, other Clubs, media contacts, donors, volunteers, board members, vendors, consultants, organizations, firms, financial institutions, and others to achieve program goals and objectives, manage costs, share information, and resolve problems. ENVIRONMENTAL AND WORKING CONDITIONS: Normal professional office environment with frequent visits to Club sites, corporate offices, and event venues.The position requires working in both indoor and outdoor environments of an office or club setting, which may involve exposure to varying weather conditions.Ability to read and interpret documents such as safety rules, operating instructions, and policy manuals.Required to operate a motor vehicle.
