Ancillary Operations Coordinator (66935)

GENERAL SUMMARY OF DUTIES: United Digestives Ancillary Operations Coordinator assists the Ancillary Services department leadership to facilitate smooth and efficient operations. Special focus on items such as service schedule templates, inter-department relationships, provider, staff, and patient communication, and use of our practice management and EMR systems. The Ancillary Operations Coordinator plays a critical role in managing projects for new services, new physicians, and new practice initiatives including, but not limited to, process document updates, process changes, coordinating and facilitating ancillary vendor relationships and in-services REPORTS TO : Infusion Nurse Manager RESPONSIBILITES
Duties may include but are not limited to:
High School Diploma or GED required, Bachelors degree strongly preferred; 2-3 years of medical office experience with a concentration in healthcare operations and systems preferred. Experience in project management and adhering to department budgets preferred. Must be computer literate and able to operate healthcare system and multiple Microsoft Office applications. ADDITIONAL SKILL AND EXPERIENCE
Ancillary Operations Coordinator must be able to:
PHYSICAL/MENTAL/ENVIRONMENTAL DEMANDS
Requires sitting and standing associated with a normal office environment, travel as business needs dictate.
Duties may include but are not limited to:
- Ensures the delivery of quality care and customer service within the ancillary departments through the design and implementation of departmental processes/procedures
- Serve as the point person for processes and functions contained within the practice management system, and EMR system
- Maintain knowledge of and comply with policies and procedures including government, insurance, and third-party payer regulations
- In partnership with Ancillary Services leadership, creates and executes project work plans; manages day-to-day operational aspects of a project, including development of the project plan, follow up with the project team, creation of necessary process and training documents; revising as appropriate to meet changing needs and requirements etc.
- Collaborates with department leadership to complete an assigned project on time, within budget, to specifications, and with accuracy and efficiency.
- Works with the ancillary team on new process/system development and implementation
- Partners with the Revenue Cycle Management (RCM) team for continual ancillary process improvements
- Track/analyze/recommend expansion of ancillary services
- Collaborates with Vendors for supply management (contracted orders)
- Coordinates with Vendors for educational/training opportunities for ancillary services
- Abides by and promotes HIPAA compliance; maintains strictest confidentiality with regards to patient information
- Participates in all Ancillary Services department staff meetings
- Participates in marketing activities for the Advanced Center for GI Therapeutics
- Additional duties and responsibilities as assigned

Ancillary Operations Coordinator must be able to:

- Displays a professional outgoing warm and helpful attitude
- Possesses compassion for dealing with people who are ill and need help
- Plan, prioritize, and complete multiple tasks as delegated by the Infusion Nurse Manager
- Work under pressure; assess, respond, and communicate issues in a timely manner
- Communicate clearly with patients and coworkers through the telephone, email, and in-person
- Interpret and apply clinical and non-clinical policies and procedures
