As an integral member of our team, you will coordinate HVAC service jobs from start to finish and serve as an important connection between our customers, technicians, vendors, and Service Manager.

Job Responsibilities

• Answer phones and respond to emails
• Address client and vendor inquiries and concerns
• Enter job/work order information clearly into the system
• Collaborate with the Service Manager to schedule appointments
• Dispatch jobs to technicians
• Maintain frequent communication with technicians and the Service Manager
• Ensure all required job/work order information is complete and accurate upon technician completion
• Source parts needed for technicians
• Track job-related purchases
• Enter line items on invoices
• Coordinate inventory replenishment
• Assist with basic construction of quotes
• Track and manage the status of upcoming jobs
• Follow up with clients to ensure satisfaction
• Document and update client records
• Maintain strong relationships with vendors and clients
• Assist with other tasks as needed to keep the job-flow process running smoothly

Requirements

• At least 3 years of related customer service experience preferred
• Previous scheduling/dispatching experience preferred
• HVAC industry experience is a plus
• Strong computer skills
• Must be able to communicate effectively with customers and technicians
• Must be able to pass a drug test and background check
• Must be able to work in-office five days per week, Monday through Friday
