About the Role

Instant Financial is hiring a Marketing Coordinator to keep the marketing function running day to day, from event logistics to agency coordination to cross-functional support. This role is the connective tissue of the marketing team: equal parts hands-on execution and organized follow-through, working closely with the VP of Marketing and the Demand Generation Manager to keep projects, partners, and events moving.

Responsibilities

• Lead end-to-end execution for all conferences, trade shows, and sponsorships, including venue logistics, branded materials, and post-event ROI analysis.
• Plan, order, and coordinate event collateral (booth graphics, printed materials, swag) in line with brand guidelines and budget.
• Prep the sales team ahead of each event, confirm attendee lists, staffing assignments, talking points, and lead-capture logistics.
• Maintain the event calendar and post-event recaps (attendance, leads captured, cost vs. budget).
• Serve as the primary point of coordination across Instant's marketing agencies (PR, SEO, design/web, paid media) — track deliverables, deadlines, and open items so nothing falls through the cracks between partners.
• Act as a connective point between Marketing and other business functions — Sales, CX, Product, and Executive Leadership — routing requests, gathering input, and keeping materials and messaging aligned across teams.
• Help maintain internal documentation (Confluence, shared drives) so marketing processes and materials stay current and easy to find.
• Take on ad hoc requests and projects assigned by the VP of Marketing and the Demand Generation Manager, adjusting priorities as business needs shift.
• Provide flexible, hands-on support wherever marketing capacity is stretched thin.

Qualifications

• 2+ years of experience in marketing, event coordination, or project/operations coordination preferred but not required.
• Strong organizational skills; comfortable managing multiple vendors, deadlines, and stakeholders at once.
• Clear, proactive communicator, both internally and with outside agencies and partners.
• Comfortable with hands-on logistics coordination (shipping, travel, booth/event planning).
• Familiarity with marketing tools a plus (HubSpot, project management tools such as ClickUp or Asana, Google Workspace).
• Able to work independently in a fast-changing, resource-constrained environment.
• Bachelor’s degree in Marketing, Communications, Business, or a relevant discipline required. Equivalent, hands-on experience may also be considered.
