Payroll Specialist

Position Overview Responsible for all payroll functions related to a specific business group. Ensures that all pay checks for that group accurately reflect hours worked, wages, and deductions. Verifies accuracy of accruals related to federal, state, and local taxes and fees. Ensures that changes to payroll data are entered accurately and in a timely manner. Responsibilities Gather information required to process and transmit payroll bi‑weekly, including W‑4 and direct deposit forms, imputed income, retroactive pay, and adjustments. Manage leave of absence calculations (approximately 5 to 10 per pay period). Verify hours worked, wages, and deductions are accurately reflected. Transmit payroll on time and process new hires, transfers, terminations, and employee changes (approximately 30–60 per payroll period). Process void and manual checks as needed (approximately 30–60 per pay period). Reconcile un‑cashed checks and follow state escheat laws. Process tips to minimum to ensure tipped employees are paid minimum wage. Manage ATO balances and employee time in Kronos; run ADP/Kronos interface daily. Troubleshoot ADP and Kronos issues. Run reports for various business groups per pay period and as needed. Maintain knowledge of multi‑state payroll tax and labor laws to ensure timeliness in termination pay and compliance with labor laws. Communicate with business group in a timely manner and develop relationships with designated business group. Ensure current employee list is up to date and accurate. Gather information, create, and distribute reports as requested. Prepare FedEx packages. Act as back‑up to fellow Payroll Specialists when they are absent or on vacation. Complete other projects as assigned. Qualifications & Experience High school degree required; BA or equivalent experience preferred. Minimum 2 years of work experience in a payroll department. Proficient communication skills (verbal and written). Ability to build relationships. Proficient math skills. Experience using ADP Payforce and Kronos. Advanced Excel skills. Word and Outlook proficiency. Detail oriented, deadline driven, good communication skills written and verbal. Ability to solve problems.
