Office ManagerThe Office Manager oversees daily accounting, administrative, and customer service functions while serving as the primary point of contact for customers and sales support activities. Responsibilities include accounts payable and receivable, invoicing, payroll processing, order management, customer communications, quote coordination, reporting, and office administration.Accounting SupportRun daily invoicing.Process cash receiptsUpdate daily cash report.Update and send daily sales and bookings report.Produce sales by customer reports.Contact customers' accounting departments for collection of aged receivables.Process accounts payable invoices, ensuring proper coding to the G/LConduct 3-way match of invoices against purchase orders and packing slips and resolve discrepancies.Match receipts/purchase orders to credit card statements and expense reports.Assist in managing capital projects which may include tracking expenditures, monitoring the status of projects and tagging new assets placed in service.Process checks for approved payments to vendors.Prepare Positive Pay file for upload to bank website.Prepare and print annual 1099's.Process weekly payroll.Respond to accounts payable and receivable inquiries.Assists employees, vendors, clients, or customers by answering questions related to accounts, procedures, and services.Assist with journal entries and reconciliations of General Ledger accounts.Customer SupportPoint of contact for salesManage customer open order reportsManage daily customer requests such as expedite requests and updatesEnter new sales ordersReview quotes coming from engineering & present them to customers.Manage front office and electronic order filesEye for inside sales, push for new business and opportunities for manufacturing efficiency while going about day to day businessWhat We're Looking ForHigh School Diploma or GED required; College Degree or equivalent work experience preferred.1-3 years of accounts payable and receivable or general accounting experienceBasic understanding of accounting principles, standards, concepts, and regulationsStrong attention to detailsAbility to thrive in a changing, fast-paced growing and dynamic business.Detail oriented and able to manage multiple projects simultaneously.Effective at fostering strong relationships with multiple levels of the organization.Prioritize and plan work activities, use time efficiently.Able to research and resolve problems independently.Follow instructions and respond to management direction, as needed.Comfortable working with Microsoft Office (Word, Excel, Outlook)Work EnvironmentClean, well-lit, temperature-controlled manufacturing facilityA place where continuous learning is encouragedCollaborative and team-orientedFast-paced and innovation-drivenRecognizes and celebrates contributionsScheduleMonday through Friday 7:00am to 3:30pm Monday through Friday.Benefits & PerksMedical, Dental & Vision starting Day OnePaid time off & company holidaysCompetitive 401(k) with company matchQuarterly bonus programOpportunity for career growth, training, and mentorshipWhy Join ARCH?Be part of a company that directly impacts patient care worldwideWork in a modern CNC manufacturing environmentGrow your career with a company that invests in its peopleJoin a team that values quality, collaboration, and continuous improvementARCH Global Holdings is an Equal Opportunity Employee and wholeheartedly supports diversity in the workplace as a basic premise for business success.
