Accounts Payable Specialist

Role Description The Accounts Payable Specialist is a full-time role responsible for managing the company’s vendor and supplier invoices and payments. Day-to-day activities include reviewing and entering invoices, verifying coding and approvals, reconciling statements, and resolving any discrepancies with vendors or internal teams. The specialist will process payments, maintain accurate records in the accounting system, and support month-end closing activities related to payables. The role also includes responding to inquiries, assisting with audits, and following company policies and procedures to ensure timely, accurate, and compliant financial transactions.
Qualifications
- Demonstrated experience in accounts payable, including invoice processing, payment execution, and vendor statement reconciliation.
- Proficiency with QuickBooks Online, (QBO) software and ERP systems such as Service Titan or BuildOps, along with strong skills in spreadsheets and basic financial reporting.
- Solid understanding of accounting principles, general ledger concepts, and internal controls related to payables.
- Strong attention to detail, organizational skills, and ability to manage multiple deadlines in a remote work environment.
- Effective written and verbal communication skills for collaborating with vendors, colleagues, and leadership.
- Ability to analyze discrepancies, research issues, and propose solutions in a calm and professional manner.
- High level of integrity, confidentiality, and commitment to accuracy in handling financial data.
- Associate’s or bachelor’s degree in Accounting, Finance, Business, or related field preferred; equivalent experience considered.
- Prior experience in construction, mechanical services, or HVAC-related businesses is a plus.
