Job Description: Addison Group is partnering with a leading law firm to hire an experienced IP Legal Assistant to support a busy Intellectual Property practice. This role is ideal for a detail‑oriented legal professional with experience handling patent and trademark matters who enjoys managing deadlines, coordinating with attorneys and clients, and keeping complex legal processes running smoothly. Key Responsibilities: Prepare, review, and file patent and trademark applications, renewals, and prosecution documents for both U.S. and international matters. Draft, edit, and proofread legal correspondence, filing documents, transmittals, and other IP‑related materials to ensure accuracy and completeness. Coordinate with attorneys, paralegals, clients, foreign associates, and government agencies regarding ongoing intellectual property matters. Monitor docket deadlines and proactively track upcoming filing requirements to ensure timely completion of all work. Manage incoming and outgoing correspondence, maintain client communications, and organize electronic and physical case files. Assist with preparing exhibits, supporting documentation, and administrative materials related to intellectual property disputes and litigation when needed. Process billing entries, review invoices for accuracy, and assist with payment requests and expense reimbursements. Maintain organized records and ensure files are opened, updated, and closed in accordance with firm procedures. Collaborate with the Intellectual Property team to prioritize assignments and provide seamless administrative support. Qualifications: Minimum of 3 years of experience as a Legal Assistant supporting an Intellectual Property practice. Working knowledge of U.S. and international patent and trademark prosecution processes, terminology, and filing deadlines. Familiarity with USPTO rules, procedures, and intellectual property management software. Strong organizational and time management skills with the ability to prioritize multiple assignments. Exceptional attention to detail and commitment to producing accurate, high‑quality work. Excellent written and verbal communication skills. Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint. Self‑motivated team player with a collaborative approach and strong sense of ownership.
