Inventory Receiving Specialist

About the Role

Gramazon / DACUT is seeking a highly organized and detail-oriented Inventory Receiving Specialist to manage the accurate and compliant receipt of cannabis and non-cannabis inventory across our operations.

This position serves as a critical control point between our internal supply chain, third-party vendors, inventory systems, compliance records, and accounting documentation. The Inventory Receiving Specialist verifies incoming shipments, reviews invoices and shipping manifests, receives inventory into company systems, creates new inventory items when required, identifies discrepancies, and ensures that physical product agrees with the corresponding invoice, purchase documentation, system records, and regulatory manifest.

For cannabis inventory, the position must ensure transactions are completed accurately and in accordance with Michigan Cannabis Regulatory Agency requirements, METRC requirements, and company procedures.

Accuracy is the primary standard of this position. Product should not move downstream until the receiving documentation, physical shipment, system inventory, and applicable regulatory records agree.

Essential Responsibilities

Receiving & Shipment Verification

• Receive cannabis and non-cannabis deliveries from internal Gramazon / DACUT operations and approved third-party vendors.
• Verify each shipment against the applicable purchase order, invoice, packing slip, transfer documentation, and/or shipping manifest.
• Physically verify product descriptions, SKUs, quantities, units of measure, package information, and other required receiving information.
• Inspect incoming shipments for shortages, overages, damage, incorrect products, documentation errors, or other discrepancies.
• Do not finalize discrepant receipts until the discrepancy has been identified, documented, and routed for resolution.

Cannabis Receiving & Compliance

• Review cannabis transfers and manifests for completeness and accuracy before accepting inventory.
• Verify that cannabis products physically received correspond with the applicable shipping manifest and system records, including product identity, quantities, packages, and other required information.
• Complete or support required receiving transactions in METRC and applicable internal inventory systems in accordance with company SOPs and Michigan regulatory requirements.
• Identify manifest, package, quantity, labeling, or inventory discrepancies and immediately escalate issues that could create a compliance risk.
• Maintain receiving documentation in an organized, complete, and audit-ready condition.

Invoice Review & Reconciliation

• Review each vendor or internal invoice associated with incoming inventory.
• Reconcile invoices against the product physically received, shipping or transfer manifest, purchase order or internal order when applicable, inventory system receipt, and METRC records for regulated cannabis inventory.
• Identify pricing, quantity, SKU, unit-of-measure, product-description, or documentation discrepancies.
• Work with Supply Chain, Accounting, Operations, and vendors to resolve discrepancies before the transaction moves through the downstream process.
• Import, upload, scan, or otherwise properly store invoices and supporting receiving documentation according to company procedures.

Item & Inventory System Administration

• Create new inventory items in applicable company systems when products or materials are received for the first time.
• Maintain accurate and standardized item/SKU numbers, product descriptions, vendor information, brand, category, unit of measure, cost information, package/configuration information, and cannabis compliance information where applicable.
• Prevent duplicate, incomplete, or incorrectly configured inventory items.
• Maintain accurate system records so Purchasing, Warehouse, Retail, Production, Accounting, and Management teams are working from reliable inventory information.

Internal Supply Chain Transfers

• Receive inventory transferred between Gramazon / DACUT cultivation, processing, distribution, warehouse, and retail operations as assigned.
• Confirm that internal shipments agree with transfer documentation and system records.
• Research and resolve differences between what the shipping location recorded and what the receiving location physically received.
• Maintain clear chain-of-custody and inventory accountability throughout internal transfers.

Inventory Control & Reconciliation

• Assist with cycle counts, physical inventories, and inventory reconciliations.
• Research discrepancies between physical inventory, internal inventory systems, invoices, manifests, and METRC.
• Document identified variances and support corrective action.
• Escalate recurring errors, vendor problems, or process failures to the Supply Chain Manager.
• Support inventory audits and compliance reviews as required.

Cannabis & Non-Cannabis Inventory

Cannabis inventory may include flower, pre-rolls, concentrates, infused products, packaged products, bulk cannabis material, and other regulated cannabis inventory.

Non-cannabis inventory may include packaging, labels, containers, hardware, retail supplies, production materials, cultivation supplies, marketing materials, office supplies, and other purchased goods.

The level of regulatory control will vary by inventory type, but documentation and inventory accuracy are required for every receipt.

Qualifications

Required

• High school diploma or equivalent.
• 13 years of experience in receiving, inventory control, supply chain, warehouse operations, manufacturing materials, purchasing support, or a comparable position.
• Strong attention to detail and demonstrated ability to reconcile documents and inventory.
• Experience working with invoices, packing slips, purchase orders, shipping documents, or inventory transactions.
• Comfortable working extensively in computer-based inventory systems.
• Proficiency with spreadsheets and basic business software.
• Ability to identify discrepancies and independently investigate their cause.
• Strong organizational and recordkeeping skills.
• Ability to manage multiple incoming shipments and priorities without sacrificing accuracy.
• Clear written and verbal communication skills.

Preferred

• Cannabis industry experience.
• Hands-on METRC experience.
• Experience with LeafLink, Dutchie, ERP, WMS, POS, or comparable inventory platforms.
• Receiving or materials experience in automotive, manufacturing, pharmaceutical, food production, or another highly controlled environment.
• Experience performing three-way matching or similar purchase order/invoice/receipt reconciliation.
• Experience creating SKUs/items in an ERP or inventory management system.
• Inventory auditing or cycle-count experience.

Success in this position will be measured by:

• Receiving Accuracy: Incoming inventory is received correctly the first time.
• Manifest Accuracy: Cannabis receipts reconcile to the applicable transfer or shipping manifest before completion.
• Invoice Accuracy: Invoice discrepancies are identified before incorrect information enters downstream accounting processes.
• System Accuracy: Inventory entered into company systems agrees with physical inventory.
• Item Master Accuracy: New items are created completely and consistently without unnecessary duplicates.
• Compliance: Cannabis receipts and records meet METRC, CRA, and internal documentation requirements.
• Timeliness: Receipts are processed promptly so inventory is available to downstream operations without unnecessary delays.
• Audit Readiness: Receiving documentation can be readily produced and traced from physical product through invoice, manifest, and system transaction.

Role Governance & Internal Controls

This position establishes and documents the factual receiving record: what was ordered, what shipped, what physically arrived, what the manifest states, what the invoice states, and what was entered into company systems.

The Inventory Receiving Specialist should not serve as the final approver of vendor invoices for payment. Accounting should use the verified receiving record as an independent control when determining whether an invoice is approved for payment.

The position reports to the Supply Chain Manager and works closely with Accounting and Compliance to resolve discrepancies and maintain accurate, audit-ready records.

Every product entering Gramazon / DACUT creates a chain of information that affects inventory, operations, compliance, and financial reporting. The Inventory Receiving Specialist is responsible for making sure that chain begins correctly.

If the product, invoice, manifest, and system record do not agree, the receiving process is not complete.

Strong candidates may come from cannabis receiving/inventory, automotive materials and receiving, manufacturing inventory control, warehouse receiving, pharmaceutical or food production, or other controlled environments where accurate reconciliation of physical product and system documentation is essential.

Candidates with strong receiving and inventory-control fundamentals should be considered even without prior cannabis experience when they demonstrate the ability to learn regulated systems, maintain disciplined documentation, and investigate discrepancies.
