Litigation Legal Assistant

Our client, a downtown Madison law firm, is seeking a highly organized and detail-oriented Litigation Legal Assistant with a minimum of three years of litigation experience.

This position plays a critical role in supporting attorneys and legal teams through all phases of litigation, including case management, document preparation, court filings, calendaring, client communication, and billing support. The successful candidate will thrive in a fast-paced legal environment and demonstrate excellent judgment, professionalism, and attention to detail.

Key Responsibilities:

• Run conflict checks and open new client and matter files.
• Prepare engagement agreements and support client onboarding processes.
• Assist with client billing, invoicing, and related administrative tasks.
• Draft correspondence, pleadings, discovery responses, and other court-related documents.
• Review, edit, and proofread legal documents for grammar, spelling, punctuation, formatting, and accuracy.
• File pleadings and other legal documents with circuit courts, appellate courts, federal district courts, and state agencies.
• Communicate with clients, opposing counsel, courts, and other involved parties to gather and track case information.
• Maintain litigation files and calendars, including tracking deadlines for pleadings, motions, hearings, and court-ordered requirements.
• Coordinate service of process with process servers for summonses, complaints, subpoenas, and other legal documents.
• Collaborate with attorneys, paralegals, and fellow legal assistants on complex litigation matters, including class action and multi-district litigation.

Qualifications:

• Post-secondary coursework in paralegal studies or equivalent experience as a paralegal, legal assistant, or similar role; an Associate’s degree or higher is preferred.
• Minimum of three years of litigation experience.
• Strong knowledge of court filing procedures, litigation deadlines, and legal document preparation.
• Excellent written and verbal communication skills.
• Exceptional organizational skills and the ability to manage multiple priorities in a deadline-driven environment.
• Proficiency with Microsoft Office and legal case management or document management systems.
