Required Skills & Experience:

-5+ years supporting senior leaders or executives

-Advanced proficiency in Microsoft Outlook, PowerPoint, Excel, Word, and Teams

Experience managing complex executive calendars and travel arrangements

-Experience preparing expense reports

-Strong communication skills

-Exceptional organizational and time management skills

-Ability to manage competing priorities with minimal supervision

-High degree of professionalism and confidentiality

Nice to Have Skills & Experience:

-Experience supporting manufacturing, engineering, construction, pharmaceutical, or capital project organizations

-Experience coordinating leadership offsites and town halls

-Experience with Concur, Ariba, SharePoint, and Smartsheet

-Strong PowerPoint development and executive presentation design skills

-Advanced Excel skills including reporting and dashboards

-Experience supporting multiple leaders simultaneously

Job Description:

The Executive Assistant provides high-level administrative and operational support to site and program leadership, serving as a trusted partner responsible for managing complex schedules, coordinating travel, facilitating communications, and supporting strategic initiatives. This role requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.

The successful candidate will function as a central coordination point across leaders, project teams, contractors, and business partners while ensuring leadership operations run efficiently and effectively. Strong candidates bring experience supporting senior leaders, managing complex calendars, coordinating large meetings and events, and developing executive-level communications and presentations.
