POSITION OVERVIEW

The Executive Assistant to Leadership at Advanced Natural Group (ANG) serves as a critical operational hub for the Sales leadership team and broader executive office. This highly organized, proactive professional will support four National Account Managers and Strategic Partnership Managers by managing their Salesforce CRM, coordinating calendars, prioritizing tasks, triaging communications, and handling all travel and entertainment logistics. The ideal candidate brings a minimum of three years of executive support experience, thrives in a fast-paced environment, and can anticipate the needs of senior leaders before they arise.

KEY RESPONSIBILITIES

CRM & Pipeline Management

• Own day-to-day Salesforce CRM administration for four National Account and Strategic Partnership Managers — keeping contacts, accounts, opportunities, and activities current and accurate.

• Build and maintain pipeline reports, dashboards, and forecasting views; surface key metrics and flags to leadership on a regular cadence.

• Coordinate with the sales team to ensure timely entry of call notes, meeting outcomes, follow-up tasks, and stage updates within Salesforce.

• Support onboarding of new team members to CRM workflows and best practices.

Calendar Management

• Manage complex, multi-time-zone calendars for VP of Sales and supported Executives — scheduling internal meetings, customer calls, distributor presentations, and trade events.

• Proactively identify and resolve scheduling conflicts; protect focused work blocks and prep time ahead of key meetings.

• Coordinate cross-functional meeting logistics including agendas, dial-in/video links, materials distribution, and attendee follow-up.

Task Prioritization & Project Coordination

• Maintain and manage leadership task lists, ensuring deadlines and deliverables are tracked, communicated, and met.

• Anticipate upcoming needs and proactively prepare briefings, talking points, or supporting materials for important meetings and calls.

• Assist with special projects and cross-departmental initiatives as directed by senior leadership — coordinating timelines, owners, and status updates.

• Support the preparation of presentations, reports, and internal communications for leadership review.

Email Triaging & Communications

• Monitor and manage executive inboxes — flagging urgent items, drafting responses, filtering non-essential correspondence, and ensuring nothing falls through the cracks.

• Draft and edit professional communications, memos, and correspondence on behalf of leadership.

• Serve as a primary liaison between internal teams, external partners, and leadership — routing inquiries appropriately and following up on outstanding items.

Travel & Entertainment Management

• Book and manage all domestic and occasional international travel for supported leaders — flights, hotels, rental cars, and ground transportation — optimizing for cost and convenience.

• Prepare detailed travel itineraries and logistics briefings for each trip.

• Coordinate client entertainment, team dinners, and event reservations aligned with company T&E policy.

• Reconcile travel and entertainment expenses; submit and track reimbursements in accordance with ANG policy.

Office & Administrative Operations

• Process and submit expense reports for supported executives; track approvals and reconcile monthly against budgets.

• Order and manage office supplies, equipment, and vendor relationships for the executive team.

• Maintain organized digital and physical filing systems for contracts, agreements, presentations, and correspondence.

• Coordinate onsite and offsite team events, offsites, and leadership meetings including venue sourcing, catering, and materials.

• Manage subscriptions, memberships, and recurring vendor engagements on behalf of leadership.

• Handle sensitive and confidential information with absolute discretion and professionalism.

REQUIRED QUALIFICATIONS

• Minimum 3 years of experience as an Executive Assistant, Administrative Assistant, or Operations Coordinator supporting senior leaders or executives.

• Demonstrated proficiency with Salesforce CRM — including pipeline management, report building, and data entry best practices.

• Exceptional organizational skills with the ability to manage multiple priorities simultaneously without losing details.

• Strong written and verbal communication skills; polished and professional in all interactions.

• Advanced proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and/or Microsoft Office 365.

• Experience booking and managing complex travel itineraries and corporate T&E processes.

• High degree of discretion and sound judgment when handling confidential business information.

• Proactive self-starter who anticipates needs and solves problems before they escalate.

• Legally authorized to work in the United States.

PREFERRED QUALIFICATIONS

• Experience supporting a sales organization or sales leadership team in a CPG, food & beverage, or natural products environment.

• Familiarity with distributor and broker relationship management contexts.

• Experience with the Salesforce CRM.

• Prior experience coordinating trade show logistics or field event support.

• Associate's or Bachelor's degree in Business Administration, Communications, or a related field.

COMPENSATION & BENEFITS

ANG offers a competitive total compensation package designed to reward performance and support our team. The package includes:

• Competitive base salary commensurate with experience.

REPORTING & WORKING RELATIONSHIPS

This position reports directly to the VP of Sales and works in close daily partnership with four National Account and Strategic Partnership Managers. The Executive Assistant will also collaborate cross-functionally with ANG’s marketing, finance, and operations teams, as well as with external partners, distributors, and vendors on behalf of leadership.
