UTS - Temporary Conference Coordinator at UNC Chapel Hill

Position Overview Conference Coordinator – Temporary, onsite 30‑40 hours/week at the Friday Conference Center, Chapel Hill, NC. Key Responsibilities Serve as the point of contact on the day of events, anticipating and addressing client needs and managing day‑of change requests. Communicate client day‑of requests to the Conference Services team and other service areas, tracking all changes. Monitor conference activities on‑site to ensure accurate and timely execution of arrangements. Support the Conference Services team in reviewing and tracking event information in the reservation system, ensuring that program deadlines related to meeting planning, catering, technology, and setup are met. Work closely with Conference Center service teams to evaluate and plan successful delivery of services. Solicit and address client feedback. Assist with opening and closing procedures of the conference center. Assess and advise on venue availability and layouts based on program needs and service delivery requirements. Apply knowledge of services, pricing, and policies to generate program proposals in the reservation system that align with client needs. Work with clients throughout the planning process to meet program deadlines for successful service delivery. Help the team meet timely communication goals with potential and upcoming programs. Perform other duties as assigned. Qualifications 2+ years of client‑facing experience, preferably in event venues. Experience planning and executing events. Excellent verbal and written communication skills and the ability to anticipate client needs. Proficient in working with deadlines and multiple teams simultaneously.
