Job DescriptionGeneral Summary:Vertex is actively seeking a highly motivated Executive Assistant who will support the Senior Vice President (SVP), Commercial Manufacturing & Technical Operations (CMTO). The CMTO organization is responsible for end-to-end commercial manufacturing operations, manufacturing science & technology, and business operations across Vertex’s growing and increasingly complex commercial portfolio — spanning small molecules, biologics, and cell & gene therapies.Key Duties and Responsibilities:Serves as the primary support professional for a Sr. Vice President, independently handling a full range administrative activitiesAs the delegate for the executive, handles details of a highly confidential and critical nature related to the function/departmentInteracts regularly with senior leaders inside and outside the Company in coordinating the affairs of the executiveManages the executive's complex and detailed calendar, frequently coordinating logistics and sharing information with other assistants and leaders both internally and externally; coordinates, complex travel and meetings logistics, anticipating and resolving any problems to ensure a seamless experience for the executiveManages own workload, reprioritizing as unanticipated situations arise; assists the executive to adjust schedules to meet new and changing deadlinesProduces high-quality documentation and contributes to building efficient processes and systems for administrative activitiesIndependently prioritizes and addresses requests for appointments, emails and telephone calls based on the needs and objectives for the executiveMaintains high level of confidentiality of information related to the organization and staffCoordinates activities between departments and or outside partiesAs delegated by the executive, follows up with stakeholders at all levels to gather needed information, prompts/reminds them of critical deadlines, and helps remove any administrative roadblocks that prevent them from meeting their obligations to the executivePrepares meeting materials, including meeting agenda preparation/distribution, collecting/printing meeting pre-reads, minute- or note-taking and assembling/editing PowerPoint presentationsProcesses group purchase orders, invoices, and contractsAssists with visitor registration, including pre-registering and escorting visitorsAssists with onboarding of new personnel into the departmentProvides guidance and training to less experienced colleaguesApplies knowledge of business/department priorities to anticipate the executive's needs and drive administrative process improvementsBuilds collaborative and productive relationships across the organization and at all levelsKnowledge and Skills:Advanced knowledge of Microsoft Office productsAdvanced time management and organizational skills, with a proven ability to independently, prioritize own work and multi-task to meet changing or competing timelinesHigh attention to detailAdvanced verbal and written communication skillsExceptional interpersonal skills, especially with senior executivesAbility to handle highly confidential and sensitive informationEducation and Experience:High School or Secondary School Education5 years of experience, or the equivalent combination of education and experiencePay Range:$89,600 - $134,400Disclosure Statement:The range provided is based on what we believe is a reasonable estimate for the base salary pay range for this job at the time of posting. This role is eligible for an annual bonus and annual equity awards. Some roles may also be eligible for overtime pay, in accordance with federal and state requirements.
